Job summary

The State of Louisiana DOTD is seeking an Administrative Coordinator 4 in Lake Charles to provide administrative support for the traffic section and related units. The role reports to the Traffic Engineer and involves maintaining confidential files, preparing daily work reports, and compiling essential information for district managers.

Three years of experience in administrative services are expected; substitution rules apply.

Qualifications

• Ability to maintain confidential files on employees, including personnel, training, small tools, and productivity used for Performance Planning and Review forms.
• Working knowledge of SAP and Agile Assets and Microsoft Office software.
• Ability to type, use a two-way radio, PC, fax, copier, PDAs, and printers.

Responsibilities

• Prepares, enters and edits Daily Work Reports for maintenance administrative units, including materials, equipment, and man hours in Agile Assets, Plant Maintenance, and PTMW systems.
• Assist and/or prepare reports for District Traffic Operations staff, Engineer Technician 7, and maintenance foremen.
• Compiles work orders for reimbursable damage to state property.
• Compiles critical information for high-level District Managers to aid in DOTD defense or other matters (FEMA, FHWA, etc.).
• Assist with reporting to DOTD, FHWA, FEMA and State of Louisiana after natural disasters, ensuring compliance and timely reimbursement.
• Maintains Loss Prevention files on equipment maintenance, inspections, safety meetings, MSDS, etc., and assists with emergency purchases.
