About Us:

The Specialty Food Association (SFA) is a leader in celebrating innovation and excellence in the specialty food world. Our cornerstone event—the Winter Fancy Food Show (Winter Fancy Faire)—brings together thousands of makers, buyers, brokers, and industry pros for three days of tasting, networking, and doing business. It's a high-energy, high-stakes event—and we’re looking for someone who can help keep all the moving parts aligned and on time.

Position Overview:

We’re seeking a Project Manager who thrives on tactical execution and keeping cross-functional teams focused, aligned, and on top of deadlines. You’ll be the operational engine behind the Winter Fancy Food Show—building detailed timelines, tracking deliverables, running point on follow-ups, and ensuring no detail gets lost. Strong attention to detail, foresight, and a propensity to look ahead and find trouble before it happens are key attributes for this role.

This role requires someone who is assertive in follow-through, and comfortable wrangling both people (from junior to senior levels) and processes.

This role would be an hourly contract role thru February 2026, at which point there would be possibility of conversion to full-time employment.

Key Responsibilities:

  • Timeline Creation & Maintenance: Build detailed project plans and own day-to-day timeline management, keeping all internal stakeholders and external partners on track.
  • Task Management & Accountability: Regularly follow up with team members across departments to ensure tasks are completed on time; escalate blockers or delays as needed to ensure appropriate attention is given to removing barriers.
  • Meeting Management: Run regular cross-functional check-ins, prepare status updates, identify dependencies, and drive decisions to keep the project moving.
  • Vendor & Partner Coordination: Coordinate closely with external partners (venue, registration, general contractor, AV, etc.) to ensure timely execution of contracted deliverables.
  • On-site Execution: Travel to the Winter Fancy Food Faire (January 2026 in San Diego) to support setup, troubleshoot issues, and keep on-site activities running smoothly.
  • Documentation & Debriefing: Maintain organized records of decisions, risks, and outcomes; lead post-show wrap-ups and process improvements.

What We’re Looking For:

  • 5-8 years of experience in event-based project management
  • Exceptional organizational skills and attention to detail
  • Proven ability to manage complex projects with multiple stakeholders and tight deadlines
  • Strong verbal and written communication skills; confident in following up, nudging, and holding people accountable
  • Proficiency in Asana or similar project management software
  • Experience in events, conferences, trade shows, or nonprofit associations preferred
  • PMP or CAPM a plus, but not required
  • Ability to travel and be on-site during show dates (and prep days prior)
