Reports To: Director, Marketing Communications

Location: Columbia, MD

Position Summary:

The Events Manager for Ambu USA is responsible for leading the planning, execution, project management, vendor management, post-event follow-up, and reporting for the organization’s events at national, regional, and local tradeshows, courses, and exhibitions. The individual will work closely with various marketing teams across the US business units, including franchise/healthcare specialty marketing owners, communications, and support teams to ensure Ambu’s events are effective, successful, and positively enhance the company’s brand in the marketplace. The candidate will be responsible for developing, organizing, and managing event strategies and financial performance to ensure successful experiences. This position is ideal for a highly organized individual with strong communication and project management skills, applied with analytical approaches for performance improvement and brand building.

Essential Functions and Responsibilities

  • Ensure Ambu events are well managed, meet brand standards, and achieve marketing objectives.
  • Build and manage the annual event calendar, logistics plan, and budget, including monthly performance and quality reports.
  • Lead weekly/bi-weekly planning sessions for upcoming events with project teams.
  • Coordinate and manage all Ambu-hosted/sponsored live events, including trade shows, internal meetings, regional/local meetings, and educational sessions.
  • Work with third-party vendors to ensure timely booth design, shipping, setup, and takedown.
  • Develop the regional trade show plan, including calendar, registration, lead generation, metrics, and summaries.
  • Onboard new vendors, ensure proper payments, and evaluate vendor performance against deliverables and budgets.
  • Manage and maintain off-site storage for Ambu assets.
  • Process all event invoices through internal accounts payable software to ensure timely payments.
  • Plan and book event spaces, hotel blocks, and meeting rooms, considering stakeholders’ needs.
  • Coordinate exhibitor badges, attendee lists, staff training, and scheduling.
  • Lead planning, logistics, and ordering of booth services.
  • Collaborate with marketing to align event activities, products, displays, and materials.
  • Evaluate logistics providers for movement of trade show assets.
  • Manage the trade show budget, aiming to maximize ROI.
  • Report on KPIs from national shows annually, including spend analysis.
  • Work with market managers and vendors on booth design and experience.
  • Use software to track logistics and communicate with team members.
  • Ability to lift and move up to 30 lbs unassisted.
  • Stand for most of the workday as needed.
  • Perform verbal communication with vendors and staff.
  • Perform other duties as assigned.

Travel:

  • Ability to travel up to 40% for trade shows and events.
  • Some events may be held evenings and weekends.

Qualifications / Experience

  • 4+ years of trade show management and internal meeting planning experience.
  • Experience with project management.
  • Proficiency in Microsoft Office applications (Excel, Outlook, PowerPoint).
  • Strong verbal and written communication and administrative skills.
  • Ability to prioritize tasks and meet critical deadlines.
  • Problem-solving skills for logistical challenges.
  • Professional and courteous demeanor under pressure.

Note: Ambu does not provide work visa sponsorship. All applicants must have current work authorization. The position offers a hybrid schedule at Columbia, MD, with remote flexibility. No relocation assistance is provided.
