SUMMARY

The Meetings & Events Manager will be responsible for the end-to-end planning and execution of meetings, conferences, and events, ensuring seamless coordination and successful outcomes. This role requires managing logistics, budgets, vendor contracts, and event operations while maintaining high standards of professionalism and efficiency.

WHAT YOU’LL BE ACCOUNTABLE FOR

The Meetings & Events Manager will be accountable for overseeing all aspects of event execution, including assisting in site selection, food and beverage coordination, AV needs, registration processes, and transportation logistics. You will work closely with internal stakeholders, external vendors, and event attendees to create engaging, well-organized experiences that align with the organization's goals.

In addition to logistical planning, the Meetings & Events Manager will oversee contract negotiations, and tracking key event metrics including attendance, expenditures, and post-event feedback, to continuously refine processes and improve future events. You will also be responsible for troubleshooting onsite challenges, implementing contingency plans, and ensuring that all events adhere to company standards, compliance policies, and industry best practices.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

Event Strategy & Coordination:

  • Collaborate with internal and external stakeholders to establish overall program strategy, goals, objectives, and budgets.
  • Lead pre-event planning meetings with cross-functional teams, ensuring alignment on expectations, timelines, and deliverables.
  • Identify and recommend venues, locations, and activities that best support the event’s objectives and audience needs.
  • Conduct site inspections and evaluate venues based on suitability, budget, and logistical requirements.
  • Develop and manage master event plans, including detailed timelines, program agendas, budgets, meeting specifications, and banquet event orders (BEOs).
  • Oversee end-to-end event logistics including program design, transportation, food and beverage, audiovisual needs, housing, and registration systems.
  • Manage shipping logistics to and from CEDIA HQ, ensuring coordination across departments and timely preparation of materials.
  • Analyze event attendance, registration trends, hotel pickup history, and post-event survey results to inform future planning.
  • Maintain comprehensive records and deliver timely status and performance reports.

Vendor & Budget Oversight:

  • Lead the selection and management of external vendors, including RFP creation, contract negotiation, and performance evaluation.
  • Serve as the primary liaison with vendors to ensure alignment with event standards and expectations.
  • Monitor and manage vendor performance, budgets, invoices, and payments to ensure cost-effective execution and compliance with financial guidelines.
  • Proactively identify cost savings opportunities and recommend strategies for optimizing event ROI.

Onsite Event Leadership:

  • Lead onsite execution of events, ensuring a seamless experience for attendees, speakers, and staff.
  • Direct onsite teams, including internal staff and contractors, ensuring appropriate coverage and performance.
  • Implement contingency and risk management plans to resolve real-time challenges.
  • Foster a professional, welcoming environment and deliver outstanding customer service to all participants.

Event-Specific Responsibilities:

  • Act as the main point of contact for venue coordination, managing floor plans, scheduling, and setup requirements.
  • Oversee all food and beverage planning, including menu selection, dietary accommodations, and service timing within budget parameters.
  • Manage the logistics of audiovisual setup and event flow, including creating detailed room diagrams and production schedules.
  • Maintain rooming lists, oversee VIP accommodations, and track hotel contract obligations.
  • Supervise on-site registration logistics, including staff assignments, equipment needs, and venue coordination.
  • Lead the logistics of event shipments, including packing lists, labeling, and transport coordination.

Post-Event Management:

  • Facilitate post-event evaluations with internal teams and stakeholders to assess successes and areas of improvement.
  • Produce detailed event summaries, including financial reconciliation, performance metrics, and future recommendations.
  • Ensure all documentation, contracts, and reports are archived according to organizational standards.
  • Create and update standard operating procedures (SOPs) as needed to support continuous improvement and knowledge retention across events.

REQUIRED SKILLS

  • Proven ability to lead event strategy and execution across multiple programs and timelines.
  • Exceptional organizational skills with strong attention to detail, accuracy, and follow-through.
  • Skilled at managing and developing vendor relationships, contract negotiations, and service agreements.
  • Outstanding communication and interpersonal skills to work effectively with stakeholders, vendors, and attendees.
  • Capable of managing high-pressure situations and adapting to shifting priorities with professionalism and poise.
  • Analytical mindset with the ability to provide post-event insights and recommendations.
  • In-depth knowledge of current meetings and events industry trends, technologies, and best practices.
  • Adept at building and fostering positive relationships with members, sponsors, and partners to enhance the event experience.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field preferred.
  • 5+ years of progressive experience in event/meeting management or related field.
  • Experience with event management software (EventsAir a plus) and Microsoft Office Suite.
  • CMP certification a plus.

TRAVEL

This position will require you to travel to all US and Canadian Tech Summits, organizational off-site events annually, site visits, CEDIA Expo, and other events as needed (25% to 35% expected travel).
