ROLE OVERVIEW
The TOP (Top of Production) Supervisor leads the daily TOP sample approval process and supervises a small team to ensure accurate, timely, and compliant handling of samples across all product categories, including apparel, accessories, and footwear. This role maintains high operational efficiency in a fast‑paced, high‑volume environment while ensuring adherence to company and industry standards.
KEY RESPONSIBILITIES
- Lead, coach, and support the TOP team to achieve daily productivity and quality targets.
- Assign and monitor workloads, balancing tasks to prevent bottlenecks or downtime.
- Provide clear guidance, feedback, and mentoring to team members.
- Escalate operational or performance issues to management in a timely manner.
- Oversee proper receipt, organization, and hanging of all TOP samples.
- Ensure daily processing of samples aligns with company standards and timelines.
- Track sample submissions, re‑submissions, and rejections to ensure timely resolution.
QUALITY REVIEW & DECISION OVERSIGHT
- Review flagged samples and make final approval or rejection decisions according to company quality and compliance standards.
- Communicate decisions, corrective actions, and resubmission requirements clearly to vendors and internal teams.
- Maintain accurate records of approvals, rejections, and recurring issues.
WORKFLOW & PRODUCTIVITY COORDINATION
- Manage daily team workflow to meet KPIs of 800–1,100 samples processed per day.
- Ensure coverage and timely handling across all product categories in a high‑volume setting.
- Adjust resources and assignments proactively to maintain operational efficiency.
REPORTING & DOCUMENTATION
- Maintain accurate documentation of sample handling, approvals, and communications.
- Provide timely updates and reports to management on workflow, rejections, and compliance.
COMPLIANCE & PROCESS INTEGRITY
- Ensure all samples and processes comply with company policies, industry standards, and regulatory requirements.
- Identify process inefficiencies or compliance gaps and support improvement initiatives.
- Communicate expectations and feedback clearly; maintain professional and constructive dialogue with team members and vendors.
- Motivate, develop, and hold team accountable while fostering a collaborative environment.
- Take ownership of team performance, sample processing quality, and workflow outcomes.
- Identify operational challenges and implement effective, practical solutions in a fast‑paced environment.
- Maintain composure and efficiency in high‑volume, deadline‑driven situations.
ROLE REQUIREMENTS
- Minimum 3–5 years of experience in quality assurance, production, or sample management, preferably in apparel, retail, or consumer goods.
- Previous supervisory or team lead experience strongly preferred.
- Strong organizational, prioritization, and problem‑solving skills.
- Excellent interpersonal and communication skills for cross‑functional collaboration.
- High attention to detail and ability to make accurate quality decisions under tight deadlines.
- Experience with sample tracking systems, PLM, or reporting tools is a plus.
- Ability to handle multiple priorities while maintaining attention to detail.
- May require standing or moving for extended periods while handling samples.
