Position description
Under the direction of the Business Administrator or designee, the Project Coordinator performs project coordination, administrative, analytical, and field-support duties for the Administration Department.
Working conditions may include indoor work performed under normal office conditions and outdoor work performed in varying weather conditions. Outdoor assignments may include site visits, observation of construction or public-improvement projects, and visits to Borough facilities and other project locations.
Work schedule
Hours will be scheduled and assigned by the Business Administrator or designee based on operational needs. The employee must accurately record all hours worked.

Responsibilities
Administrative and analytical duties include, but are not limited to:
- Collects, organizes, and analyzes data in support of departmental projects, studies, and reports.
- Attends meetings on behalf of the Administration Department and prepares draft meeting notes or minutes when assigned.
- Drafts correspondence, memoranda, reports, presentations, and other documents for review by the Business Administrator or designee.
- Reviews ordinances, resolutions, policies, and related materials and prepares summaries or comparisons as requested.
- Maintains records, files, schedules, and reports related to assigned projects and municipal operations.
- Evaluates parking and traffic technology through research and vendor comparisons and prepares findings and recommendations for administrative consideration.
- Assists with tracking project schedules, deliverables, expenditures, and outstanding action items.
Procurement and field-support duties include, but are not limited to:
- Reviews bid documents for administrative completeness and conformance with established bid requirements.
- Compiles bid tabulations and prepares related summaries for administrative review.
- Observes and documents work performed under municipal contracts or projects and reports observations to the Business Administrator or designee.
- Conducts on-site visits to project locations, Borough facilities, and public-improvement sites.
- Attends preconstruction meetings and other project-related meetings as assigned.
Other duties
Performs other related duties as assigned by the Business Administrator or designee that are consistent with the nature and qualifications of the position.
Minimum qualifications
- High school diploma or equivalent.
- An associate degree, relevant coursework, training, or experience in public administration, business administration, project coordination, construction administration, or a related field is preferred.
- Possession of a valid New Jersey driver's license and the ability to operate a motor vehicle when required to perform assigned duties.
- Ability to learn assigned responsibilities through instruction and on-the-job training.
- Ability to understand and follow oral and written instructions.
- Ability to organize assignments and complete work accurately and within established deadlines with general supervision.
- Ability to read, write, understand, speak, and communicate in English sufficiently to perform the essential duties of the position.
Required training
- Borough-required training concerning customer service, ethics, harassment and discrimination prevention, cybersecurity, and other mandated subjects.
- Training in Microsoft Excel, Edmunds, records management, procurement procedures, and other systems or subject areas necessary to perform assigned responsibilities.
- Additional training as determined necessary by the Borough.
