Purpose of the role

You will be responsible for maintaining accurate employee timekeeping records and supporting the day-to-day administration of time and attendance processes. Working within established procedures and under general supervision, you will use your attention to detail, organizational skills, and knowledge of timekeeping processes to identify discrepancies, resolve routine issues, and ensure information is recorded accurately and on time.

This role is well suited to someone who is comfortable working with data, follows established processes, and can use sound judgment when determining the appropriate action to take. You will work collaboratively with employees, supervisors, payroll, and other project or business stakeholders to help maintain reliable timekeeping information.

Core Responsibilities

  • Review timesheets and timekeeping information for completeness, accuracy, appropriate coding, and compliance with established guidelines.
  • Enter, update, retrieve, and maintain timekeeping data within applicable systems.
  • Identify discrepancies, missing information, unusual entries, or other timekeeping issues and work with the appropriate stakeholders to resolve them.
  • Follow established procedures and standing instructions when processing routine and non-routine timekeeping activities.
  • Apply appropriate timekeeping codes, calculations, and procedures based on the circumstances and available information.
  • Perform calculations involving hours, overtime, differentials, and other applicable timekeeping information with a high degree of accuracy.
  • Respond to employee and supervisor questions regarding time entry and established timekeeping procedures, escalating issues when appropriate.
  • Coordinate with payroll and other internal teams to help ensure timekeeping information is submitted accurately and within required deadlines.
  • Maintain appropriate documentation and records to support timekeeping activities and provide information when requested.
  • Use timekeeping systems, spreadsheets, and other relevant tools to enter, retrieve, review, and report information.
  • Recognize recurring issues or process gaps and recommend practical solutions based on established procedures and previous experience.
  • Protect the confidentiality and integrity of employee information while performing all timekeeping activities.
  • Support continuous improvement by identifying opportunities to make timekeeping processes more accurate, efficient, and user-friendly.
What you'll bring to the role

You will bring a practical, detail-oriented approach to timekeeping and data administration, along with the ability to work independently within established processes.

Required qualifications and skills:

  • High school diploma, secondary school education, or equivalent.
  • 2+ years of relevant experience in timekeeping, payroll support, administrative support, data entry, workforce administration, or a related field.
  • Experience working with time and attendance, payroll, or employee records is preferred.
  • Strong attention to detail and a demonstrated ability to maintain accurate records.
  • Comfortable working with numerical information, including hours, decimals, fractions, and basic mathematical calculations.
  • Proficient data entry skills with the ability to accurately enter and retrieve information from computer-based systems.
  • Intermediate proficiency with systems, databases, spreadsheets, or other tools used to manage and report information.
  • Ability to interpret and follow established procedures, policies, and instructions.
  • Good organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
  • Ability to identify discrepancies or routine problems and determine an appropriate solution based on established procedures and previous experience.
  • Clear and professional communication skills, with the ability to explain information and work effectively with employees, supervisors, and internal stakeholders.
  • Ability to exercise sound judgment when choosing between established procedures or precedents.
  • Ability to work collaboratively while also managing assigned responsibilities with minimal instruction.
  • Strong commitment to confidentiality, accuracy, and data integrity.
