Job summary

FlexStaff Careers seeks a temporary Purchasing Assistant for a long-term on-site assignment in Stony Brook, NY. The role runs Monday to Friday, 8:30am–5:00pm, and involves contract support, bidding oversight, and data analytics tasks within university procurement.

Ideal candidates hold a Bachelor's degree and have 2+ years in procurement, contract support, and familiarity with Jaggaer or similar procure-to-pay systems. Public bidding experience is a plus.

Qualifications

• Bachelor's Degree required.
• Two years of procurement, support and experience; MS Office and/or Google Workspace.
• Experience with bidding, reviewing, and drafting supplier contracts.
• Certified purchasing or supply chain management credentials.
• Proficiency with Jaggaer or other procure-to-pay systems.
• Experience in New York State agency or higher education procurement.
• Experience with public bids for Construction, A/E, and Facilities Service contracts-related purchasing.

Responsibilities

• Support Contract Officers with review, development, and drafting of complex contracts, purchase orders, and change orders for university goods and services.
• Assist RFx/bid events; RFP, IFB, RFQ in accordance with purchasing laws and guidelines.
• Report on Cost Savings via reductions or avoidances to the University.
• Provide administrative support for contractual and bidding transactions, including exhibits, insurance, and forms for State and Research Foundation.
• Enter contracts and documentation in Contracts database in a timely manner.
• Ensure compliance with Federal, NYS, SUNY, Research Foundation, and University procurement rules.
• Analyze supplier data, spending, usage, and market trends to determine sourcing strategies and identify cost-saving initiatives.
