Career Group is assisting a nonprofit client in finding a Temp to Perm Hospitality Coordinator to support its New York Operations team. The role focuses on maintaining a welcoming office and delivering high-quality facilities, hospitality, and event support for meetings in the NYC office.

The position is onsite in Midtown East, NYC, with hours Monday–Friday 7:30 AM–3:30 PM and occasional weekend event support. The role starts asap with potential permanent hire.

Qualifications

  • 3+ years in facilities operations, events, hospitality, or corporate services.
  • Proven ability to manage multiple priorities and deliver high-quality service.
  • Experience coordinating meetings and events is a plus.
  • Strong documentation and inventory tracking skills.

Responsibilities

  • Maintain office, conference rooms, and staff areas to a high standard through daily walkthroughs and proactive issue resolution.
  • Coordinate building work orders from submission through vendor coordination and completion.
  • Serve as a day-to-day point of contact with building management, engineers, security, contractors, and external vendors.
  • Coordinate logistics for meetings and events, including room setups, furniture moves, signage, catering, staging, and room resets.
  • Support AV/IT setups in coordination with the AV/IT team, including basic troubleshooting and cable management.
  • Assist with deliveries, office moves, workplace projects, and waste/recycling coordination.
  • Manage office inventory, including supplies, equipment, furniture, stationery, and pantry items.
  • Handle office purchasing and maintain accurate records in accordance with company policies and established budgets.
  • Track office deliveries and vendor orders, following up on lead times and escalating delays as needed.
  • Support office safety and security initiatives, including drills, compliance checks, emergency equipment, and documentation.
  • Assist with incident response, including power outages, leaks, equipment failures, and other workplace issues.
  • Partner with People & Culture on employee onboarding and offboarding, including preparing workspaces and resetting desks.
  • Assist with maintaining the office seating plan and coordinating seat assignments.
  • Monitor contractor performance and ensure work is completed according to scope and company standards.
  • Maintain accurate documentation related to vendors, service contracts, inventory, work orders, and workplace operations

Job description

Our client, a non-profit, is looking for a Temp to Perm Hospitality Coordinator to support its New York Operations team. As part of the New York Operations team, the Facilities & Hospitality Coordinator will help maintain a welcoming, well-functioning office environment while providing high-quality facilities, hospitality, and event support for meetings and events hosted in the New York office.

This position starts asap and will have the potential for permanent hire down the line if the right fit.

Location

Midtown East, NYC – Fully Onsite

Hours

Monday – Friday, 7:30 AM – 3:30 PM; hours may shift earlier or later for events, typically about once per month.

Weekend availability is required for occasional events.

Qualifications
  • 3+ years of experience in facilities operations, events, hospitality, corporate services, workplace operations, or a related field
  • Strong client-facing and interpersonal skills with a polished, professional demeanor
  • Event coordination or project management experience is a plus
  • Strong organizational skills with the ability to balance daily operations with event timelines and multiple priorities
  • Strong attention to detail and ability to maintain accurate documentation and inventory records
  • Proficiency with Microsoft Office/365
  • Experience with Building Engines, Prism, CMMS, ticketing, or similar work-order platforms is preferred
  • Comfortable working in a hands-on environment and assisting with room setups, furniture moves, and event logistics
  • Ability to lift, push, or pull 25–50 lbs. and frequently walk, bend, and stand throughout the day
  • Ability to work early mornings, later evenings, and occasional weekends for events
  • Strong judgment, discretion, and communication skills
  • Ability to work effectively with individuals from different backgrounds and cultures
