Job summary

South Texas College seeks a Compliance Technician to provide administrative support to the Dean of the Center for Advanced Training and Apprenticeships. This role supports compliance, reporting, and reconciliation for state-funded programs, ensuring accuracy and audit readiness.

Responsibilities include monitoring MOUs and NOEs, validating student registry and third-party accounts, preparing quarterly Coordinating Board reports, and assisting payroll distribution, while upholding high standards

Qualifications

  • To qualify, one of the following must be met: Associate's Degree or a minimum of 60 earned college hours.
  • At least one (1) year of work experience in a related work setting required.

  • Monitors and reconciles multiple projects and tasks, with some weekend/evening work to meet deadlines.

General Statement of Job

The Compliance Technician provides administrative support to the Dean by performing compliance, reporting, and reconciliation support for state‑funded programs. Monitors contractual agreements, student eligibility, and financial data to ensure adherence to institutional and regulatory requirements. Tracks MOUs and Notice of Employment (NOE) activity. Verifies student registry and payment data by census and reconciles student and third‑party accounts. Prepares required quarterly Coordinating Board and monthly Key Performance Indicator reports. Supports payroll distribution and overtime processing. Assists with interdepartmental initiatives to maintain accurate records, support audits, and ensure ongoing program compliance.

Specific Duties and Responsibilities
Essential Functions:
  • Provides administrative support and assistance to the Dean - Center for Advanced Training and Apprenticeships.
  • Facilitates communications, plans and follows-up on administrative matters.
  • Interacts with and provides customer service to students, staff and the public in a positive manner and answers questions regarding department matters.
  • Processes administrative and clerical affairs of the Dean - Center for Advanced Training and Apprenticeships.
  • Assist with compiling, typing and tracking reports, as directed.
  • Coordinates projects/reports with other departments and divisions.
  • Manages and/or monitors multiple projects and coordinated tasks, with some weekend and evening work required to meet strict deadlines.
  • Handles inquiries and exercises sound judgment in referral of inquiries to appropriate staff.
  • Seeks to solve problems, address concerns, and plans ahead with great attention given to customer service, project quality, and exact detail.
  • Assists with interdepartmental projects, as assigned.
  • Verifies students' registry and payment by census.
  • Ensures compliance of all the state-funded courses.
  • Prepares and certifies quarterly Coordinating Board reports.
  • Reconciles third-party contracts and agreements and prepares for billing.
  • Reconciles accounts of students taking online courses.
  • Prepares monthly Key Performance Indicator reports.
  • Assists with Payroll Distribution Reports, as needed.
  • Performs other duties as assigned.
Required Education and Experience

To qualify, one of the following must be met: Associate's Degree A minimum of 60 earned college hours.

At least one (1) year of work experience in a related work setting required.

Required Knowledge, Skills and Abilities
  • Excellent oral, written, and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Knowledge of enterprise systems; e.g. Banner.
  • Good critical-thinking and problem-solving skills.
  • Bilingual, English/Spanish, preferred.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to work independently as well as a team player within department and with others.
  • Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
  • Demonstrated commitment to achieving the vision and mission of South Texas College.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of students, customers
