Technical Writer / PMO Documentation Specialist
Position Overview
Insight Global is seeking a Technical Writer / PMO Documentation Specialist to support project management, governance, and process improvement initiatives within its natural gas distribution organization.
This role will be responsible for developing, maintaining, and standardizing internal PMO documentation, business processes, project governance procedures, templates, job aids, and project controls documentation. The individual will work closely with Project Managers, PMO leadership, business stakeholders, and cross-functional teams to document, improve, and sustain repeatable project delivery processes.
The successful candidate will facilitate stakeholder meetings, gather requirements, document workflows, create and maintain Standard Operating Procedures (SOPs), and ensure project documentation remains current, accurate, and aligned with organizational standards. This role plays a critical part in driving consistency, accountability, and process maturity across the PMO organization.
Key Responsibilities
- Develop, edit, and maintain PMO and project delivery documentation supporting capital project execution and governance activities.
- Create, update, and maintain Standard Operating Procedures (SOPs) for internal PMO processes, including project reporting, project intake, risk management, change control, status reporting, stakeholder communications, project closeout, and document management activities.
- Perform ongoing maintenance and live updates to SOPs to ensure documentation reflects current business practices, process improvements, organizational changes, and stakeholder requirements.
- Facilitate project kickoff meetings and stakeholder working sessions to gather business requirements, identify documentation needs, and establish project governance expectations.
- Develop, maintain, and update project intake forms to capture project requirements, stakeholders, deliverables, reporting needs, risks, dependencies, and governance requirements.
- Interview stakeholders and facilitate workshops to document, standardize, and improve PMO processes across project teams.
- Develop and maintain process documentation that clearly defines workflows, ownership, roles, responsibilities, timelines, approvals, and escalation paths across PMO functions.
- Create business process flows, workflow diagrams, process maps, job aids, quick reference guides, and training materials that support project teams and operational excellence.
- Maintain and update project Risk Logs, Action Item Logs, Change Control Logs, Decision Logs, and Lessons Learned repositories.
- Document and track scope changes, identify revision trends, and support reporting on recurring issues impacting project delivery.
- Facilitate and document Lessons Learned sessions with project teams, PMO stakeholders, and clients while maintaining an active knowledge repository for future projects.
- Prepare and maintain project governance documentation, technical summaries, closeout documentation, meeting records, and executive reporting support materials.
- Standardize documentation, templates, forms, and reporting tools to improve consistency, usability, accessibility, and organizational compliance.
- Collaborate with Project Managers, PMO leadership, business stakeholders, and subject matter experts to validate documentation accuracy and completeness.
- Maintain document repositories, version control processes, approval workflows, and governance standards within SharePoint and other document management systems.
- Support continuous improvement initiatives by identifying process gaps, documentation inconsistencies, reporting inefficiencies, and opportunities for standardization.
- Assist in the development and maintenance of PMO standards, methodologies, templates, and knowledge management resources.
- Support project closeout activities by ensuring required documentation, lessons learned, approvals, and project records are completed and archived appropriately.
- Perform quality assurance reviews of documentation to ensure accuracy, consistency, compliance, and adherence to established standards.
Required Qualifications
- 3-7+ years of experience in technical writing, process documentation, PMO support, business process analysis, project documentation, or documentation management.
- Experience developing and maintaining SOPs, process documentation, governance documentation, job aids, and workflow procedures.
- Experience facilitating requirements gathering sessions, stakeholder interviews, workshops, or project kickoff meetings.
- Experience supporting project lifecycle documentation including project intake, risk management, change control, lessons learned, and project closeout activities.
- Experience creating process maps, workflow diagrams, business process documentation, and training materials.
- Strong writing, editing, document control, and organizational skills.
- Ability to translate complex business processes into clear, user-friendly documentation.
- Strong understanding of version control, document governance, and documentation management best practices.
- Proficiency with Microsoft Word, SharePoint, Microsoft Teams, Visio, and Microsoft Office Suite.
- Strong attention to detail and quality assurance skills.
- Ability to manage multiple priorities, documentation requests, and deadlines simultaneously.
- Strong interpersonal and communication skills with the ability to work effectively across multiple stakeholder groups.
Preferred Qualifications
- Experience supporting PMOs, project controls teams, project governance functions, or capital project delivery organizations.
- Experience working within utilities, energy, engineering, construction, or other regulated industries.
- Experience maintaining Risk Registers, Change Control Logs, Decision Logs, Lessons Learned repositories, and project closeout packages.
- Familiarity with project management methodologies and governance frameworks.
- Experience with process improvement, business process standardization, and knowledge management initiatives.
- Experience with SharePoint administration, Smartsheet, Power BI, Powerpoint, Lucidchart, Visio, MS Office, or similar collaboration and workflow tools.
