Job summary

Jobtailor is seeking a documentation control professional to establish and manage a global framework for engineering specifications, drawings, and SOPs.

You will oversee feedback in bids and RFIs, prioritize design-standard updates, and ensure templates are included in project scopes. The role involves QA across construction and commissioning, handover readiness, and maintaining the central document library.

Qualifications

  • 3+ years of direct experience in documentation control, program management, or technical writing within critical infrastructure environments
  • Bachelor's degree in Mechanical, Electrical, Mechatronics, or closely aligned Engineering discipline, Construction Management, or equivalent industry/military experience
  • Demonstrated mastery of EDMS, SharePoint, Microsoft Word, PowerPoint, Excel, and Visio
  • Ability to read, interpret, and organize engineering drawings, electrical single-lines, control network schematics, and BOM
  • Detail-oriented approach with commitment to accuracy
  • Ability to perform gap analyses on technical documentation, identify process inefficiencies, and implement improvements
  • Familiarity with BMS, EPMS, and industrial PLC/DDC systems
  • Familiarity with the design lifecycle of engineering projects
  • Ability to manage multiple fast-paced documentation pipelines across deadlines with stakeholders

Responsibilities

  • Establish, implement, and maintain a standardized global document control and governance framework for engineering specs, drawings, and SOPs
  • Oversee feedback collection during competitive bidding and RFIs
  • Analyze and prioritize project-specification shortcomings to update Master Design Standards
  • Partner with internal design teams and external firms to influence design-for-serviceability
  • Ensure standardized templates and procedures are included in project SCOWs
  • Direct documentation tracking and QA across construction and commissioning phases
  • Validate testing and documentation are verified, complete, and under revision control before handover
  • Enforce handover criteria at the Ready For Service milestone
  • Review and archive finalized vendor submittals, control schematics, asset inventories, and client docs
  • Develop SOPs, MOPs, and safety standards for critical facility systems
  • Manage central documentation library in SharePoint and integrate with InCommand platform
  • Establish tracking for sensor calibration certs, MTBF, and obsolescence planning databases

Job description


  • Establish, implement, and maintain a standardized global document control and governance framework for engineering specifications, technical drawings, and standard operational procedures

  • Oversee feedback collection during competitive bidding and Request for Information (RFI) periods

  • Analyze, compile, and prioritize project-specification shortcomings to update and release future Master Design Standards

  • Partner with internal design engineering teams and external design firms to influence design-for-serviceability

  • Ensure standardized templates and procedures are included in project scopes of work (SOWs)

  • Direct documentation tracking and quality assurance across construction and L1-L5 commissioning phases

  • Validate testing and documentation are verified, complete, accurate, and under revision control before handover

  • Enforce handover criteria at the Ready For Service (RFS) milestone

  • Review and archive finalized vendor submittals, control schematics, asset inventories, global telemetry/MQTT topic maps, and client-required documentation

  • Develop precise, repeatable SOPs, MOPs, and safety standards for critical facility systems

  • Manage the central documentation library in SharePoint and integrate files with the InCommand platform

  • Establish tracking systems for sensor calibration certificates, equipment Mean Time Between Failure (MTBF), and obsolescence planning databases


Requirements


  • 3+ years of direct experience in documentation control, program management, or technical writing within critical infrastructure environments such as data centers, defense, pharmaceutical, utilities, or heavy manufacturing

  • Bachelor's degree in Mechanical, Electrical, Mechatronics, or a closely aligned Engineering discipline, Construction Management, or equivalent industry/military experience

  • Demonstrated mastery of Electronic Document Management Systems (EDMS), SharePoint, Microsoft Word, PowerPoint, Excel, and Visio

  • Ability to read, interpret, and organize engineering drawings, electrical single-lines, control network schematics, and equipment Bill of Materials (BOM)

  • Detail-oriented approach with commitment to accuracy

  • Ability to perform gap analyses on technical documentation, identify process inefficiencies, and implement structural improvements

  • Familiarity with Building Management Systems (BMS), Electrical Power Monitoring Systems (EPMS), and industrial PLC/DDC systems

  • Familiarity with the design lifecycle of engineering projects

  • Ability to manage multiple fast-paced documentation pipelines across competing deadlines with regional construction, operations, and executive stakeholders

  • Excellent written and verbal communication skills to translate complex technical requirements into clear standards for vendors, operators, and executive stakeholders
