Technical Project Coordinator, Hampton, VA

Job Summary

The IT Project Coordinator serves as a key liaison, collaborating with internal teams, business partners, third‑party contractors, consultants and vendors to ensure projects are delivered according to plan. This role also independently schedules and coordinates meetings and key events for the Technology Department. The coordinator actively engages with team members to develop project artifacts and contribute to User Acceptance Testing (UAT), Process Verification and Validation (PVV), Quality Assurance (QA) and other critical project activities. We are seeking a self‑starter with drive and ability to achieve planned objectives who is creative, organized and has strong time‑management and communication skills.

Key Responsibilities
  • Comprehensive Coordination - Work with project managers to build and update project plans and timelines, ensuring all details are current and structured.
  • Administrative Duties - Manage calendars, track key performance indicators (KPIs) and provide support for process verification and quality assurance initiatives.
  • Meeting & Event Management - Arrange meetings, handle logistics and create detailed agendas and minutes for project discussions.
  • Vendor & Stakeholder Communication - Serve as a liaison for internal teams and external vendors, efficiently conveying project requirements and updates.
  • Project Organization - Work with other TPMO members to understand the foundation of project management and business analytics.
  • Documentation & Reporting - Keep project files organized and updated; prepare regular status reports and update project dashboards to reflect ongoing progress. Manage records created and received in compliance with the Records Management Policy.
  • Ad Hoc Task Management - Flexibly assist with special projects and additional administrative tasks as needed to support overall project success.
Required Skills

  • Ability to adeptly communicate with diverse stakeholders from a broad spectrum of disciplines, roles and backgrounds.
  • Employee must complete Track Access Safety Training to escort and/or coordinate vendor(s) working on or near rail transit systems within the right‑of‑way (ROW).
  • Ability to monitor, mitigate, remediate and discern to elevate and/or resolve conflicts (competing requirements, priorities, interpersonal, etc.).
  • Proficient with office productivity tools and a willingness to learn project management platforms (e.g., Microsoft Project, Planner, Planview Pro PPM, JIRA).
  • Strong interpersonal skills with demonstrated ability to elicit cooperation from a wide variety of sources, including upper management, other departments, key stakeholders and handle evolving priorities and deadlines in a high‑pressure setting.
  • Experience working both independently and in team‑oriented, collaborative environments with ability to effectively prioritize and execute tasks in a high‑pressure environment.
  • Excellent time‑management and organizational skills including the ability to multitask.
  • Safety Responsibility: Perform all job duties and responsibilities in a safe manner to protect oneself, fellow employees and the public from injury or harm. Promote safety awareness and follow safety procedures and policies. Take an active part in reporting unsafe conditions and any hazards within the workplace to their supervisor, manager and/or the Safety Department.
Required Qualifications
  • Associate's degree in business, information technology, project management or a related field or professional project management certifications such as PMP, CAPM, Agile, ScrumMaster, SAFe or ITIL to validate expertise in established methodologies preferred.
Required Experience
  • 2 to 4 years of hands‑on experience in administrative support or project coordination.
  • Proficiency in Microsoft Office Suite (e.g., Outlook, Excel, Word, PowerPoint, Teams) and familiarity with project management software.
  • Excellent written and verbal communication skills with acute attention to detail.
  • Proven ability to work effectively in a fast‑paced, multi‑tasking environment.
  • Strong interpersonal skills with a professional demeanor for interacting with stakeholders at all levels.
Physical Demands
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • Ability to lift 25 pounds to maneuver equipment, if/as necessary.
  • Work requires high‑speed operation of keyboard devices.
