Key Responsibilities of the Tax Administrative Supervisor:
- Provide polite and professional communication, promptly answering calls and emails, and notifying staff of important information.
- Communicate with Advisory regarding clients’ information submission and return preparation status.
- Engage with clients about their document submission and return progress.
- Create opportunities for success by designing specialized communication strategies for clients and Advisory.
- Assist clients with software and portal issues related to uploading documents.
- Coordinate with leadership to standardize and update administrative policies across regions.
- Post copies of Tax Returns to portals or SafeSend.
- Support clients with SafeSend and document uploads.
- Create and maintain electronic filing systems.
- Upload invoices for payment processing.
- Respond to inquiries and requests with accurate information.
- Maintain client mailing lists and documentation.
- Prepare routine correspondence, forms, notices, or reports based on department procedures.
- Organize continuing education seminars and webinars.
- Contribute to team efforts and accomplish related results.
- Set up new clients in practice management systems and maintain tracking lists.
Additional Duties in Tax & Business Services:
- Oversee administrative aspects of tax season, including pre- and post-season activities.
- Train new hires on processes and procedures.
- Supervise and mentor administrative staff.
- Develop and communicate best practices within the team.
- Manage situations with advisors and clients, proposing messaging and solutions.
- Track meetings and communications essential for tax season success.
- Coordinate and supervise team workflows to improve efficiency.
- Maintain detailed tracking of client information and issues.
- Assist with final tax return delivery and input as needed.
- Proficiency in payroll processing and supporting the accounting team is a plus.
- Perform other duties as assigned, supporting team collaboration.
Position Details:
- This role can be based in Cedar Rapids or Iowa City, requiring weekly travel between offices.
- In-person support is required.
- Typical hours outside tax season are Monday-Friday, 8:00 AM-5:00 PM. During tax season (Jan-April), expect 55-60 hours/week including Saturdays.
Qualifications:
- High School Diploma or equivalent; some college preferred.
- At least 5 years of progressive experience in a similar role, preferably in financial or accounting firms.
- Ability to communicate effectively with all levels of personnel and clients, exercising discretion on confidential matters.
- Proficiency in Word, Excel, Outlook, and PowerPoint.
- Strong organizational, analytical, and project management skills.
- Meticulous, detail-oriented, and capable of multitasking.
- Excellent communication and listening skills.
- Client-first attitude and team-oriented mindset.
- Experience with professional tax software like Ultra Tax is a plus.
