  • Initiate actions in the pre-employment process to ensure accurate onboarding.
  • Create offer letters and manage pre-employment screening in Workday.
  • Handle I-9, background checks, and medical/drug screenings with confidentiality.
  • Update and maintain new hire components on SharePoint; support process improvements.

Talent Support Coordinator

Location: Tulsa, Oklahoma

Essential Job Duties
  • Responsible for prompt initiation, coordination and communication of the various stages in the new hire workflow while simultaneously processing multiple case files and requests.
  • Interface with multiple systems and functional stakeholders, spotting exceptions and potential causes of delay.
  • Initiate timely, appropriate actions throughout processing of each case to ensure expedient, accurate completion and a quality experience to new Oxy employees.
  • Utilize the Workday system to create offer letters and accomplish all aspects of the pre-employment phase of Oxy's New Hire Program.
  • Pre-employment screening: Initiate Background Investigations, screen reports and coordinate issues with HR.
  • Initiate and communicate results of Medical/Drug Screenings.
  • Complete candidate processing in accordance with all screening outcomes.
  • Responsible for timely and compliant I-9 completion.
  • Review and verify I-9 forms and identity documents for accuracy.
  • Conduct remote meetings with employees to complete the verification process.
  • Assist in completing I-9 reverifications, as needed.
  • Administer, update and further develop the new hire components of our SharePoint team site.
  • Evaluate and recommend improvements in the Workday process.
  • Participate in New Hire projects, as needed.
Required Qualifications (in order of priority)
  • High school diploma.
  • Minimum 2 years of Human Resources experience preferred.
  • Available and willing to work overtime to meet project demands.
  • Proficiency in Microsoft applications (such as Word, Excel, PowerPoint and Outlook).
  • Strong interpersonal and communication skills (both oral and written).
  • Strong attention to detail with solid analytical abilities and sharp organizational skills.
  • Ability to multitask in a fast-paced environment with minimal supervision.
  • Ability to handle sensitive information with discretion and tense circumstances with composure.
  • Ability to thrive in a team and service-oriented environment.
  • Excellent time management and organization skills.
