Job summary

ASM is seeking a highly organized Talent Acquisition Coordinator to support its Talent Acquisition team across Asia from a hybrid office in the US. You will coordinate multi‑stage interviews, arrange travel, and manage vendor contracts while ensuring data accuracy and timely processes.

You’ll work with recruiters, hiring managers, Finance, Procurement, and external partners in a fast-paced, international tech environment, driving smooth recruitment operations and candidate experience.

Qualifications

  • Bachelor's degree in Human Resources, Business, Administration, Finance, Communications, or related discipline preferred.
  • Prior experience in Talent Acquisition coordination, recruiting operations, HR operations, shared services, or administration in a fast-paced environment.
  • Experience coordinating complex interviews involving multiple stakeholders, calendars, locations, or time zones.
  • Hands-on experience with service agreements, vendors, invoices, expense claims, purchase requests (PRs), purchase orders (POs), or related financial administration.
  • Strong organizational skills, attention to detail, follow-through, and the ability to manage multiple tasks and changing priorities.
  • Comfort working with systems, conducting data checks, and maintaining accurate and complete records.
  • Clear, professional communication skills and a service-oriented approach to candidates and internal stakeholders.
  • Experience using applicant tracking systems, HR systems, scheduling tools, or recruiting technologies.
  • Comfort working across countries, cultures, functions, and processes in a regional or multinational environment.
  • Business-level English required; Mandarin Chinese, Japanese, and/or Korean are a plus.
  • Willingness to work from the office three days per week.
  • Semiconductor, engineering, advanced manufacturing, technology, or another fast-paced industry experience is preferred.

Responsibilities

  • Coordinate interview requests and scheduling, including complex, multi-stage processes across countries, functions, stakeholder groups, and time zones.
  • Arrange candidate travel, including flights, accommodation, ground transportation, and related logistics.
  • Coordinate interview panels, executive interviews, assessments, debriefs, and hiring events with professionalism and attention to detail.
  • Act as a responsive point of contact for candidates, recruiters, interviewers, and hiring managers regarding schedules, logistics, process questions, and follow-up.
  • Prepare interview teams with the necessary schedules, candidate information, meeting details, and supporting materials.
  • Serve as an operational backbone for the Asia Talent Acquisition team, supporting consistent and efficient hiring activities across the region.
  • Support offer administration, pre-employment activities, onboarding coordination, recruitment documentation, and process compliance.
  • Maintain accurate candidate, requisition, interview, and process information in the applicant tracking system and other internal tools.
  • Lead regular data hygiene audits to improve the accuracy, completeness, and quality of Talent Acquisition data.
  • Provide general administrative and operational support to the Talent Acquisition team based on regional priorities.
  • Support the setup and administration of service agreements, vendor documentation, and recruiting-related contracts.
  • Manage Talent Acquisition purchase requests (PRs), purchase orders (POs), invoices, expense claims, and payment follow-up across Asia.
  • Partner with Finance, Procurement, HR, and external vendors to support accurate processing, budget visibility, and timely resolution of issues.
  • Maintain organized records for recruitment agencies, job boards, advertising, events, employer branding activities, and recruiting technology spend.

  • Support the preparation and logistics for job fairs, recruiting events, university activities, employer branding initiatives, and regional hiring campaigns.
  • Coordinate event suppliers, materials, schedules, attendee information, and follow-up actions as needed.

Role Summary

We are looking for a highly organized and proactive Talent Acquisition Coordinator to support ASM's Talent Acquisition team across Asia. Sitting at the center of our regional hiring operations, you will connect candidates, recruiters, hiring managers, Finance, Procurement, and external partners to keep recruitment activities moving smoothly. This role combines interview coordination, candidate experience, financial and vendor administration, data quality, recruiting event support, and day-to-day operational excellence. Key Responsibilities
Interview Coordination & Candidate Experience
