About the Role

The Talent Acquisition Coordinator will manage the administrative, operational, and data management processes that support accurate, organized, and efficient hiring. The role is responsible for maintaining reliable recruiting records, supporting active hiring processes, and ensuring candidates receive consistent, timely communication throughout the recruitment process.

Working closely with recruiters, hiring managers, People Operations, Finance, and IT, the coordinator will maintain ATS data quality, configure hiring workflows, prepare recruitment reports, and coordinate candidate assessments across multiple time zones. The position also provides opportunities to gain experience in candidate sourcing, application review, and broader People Operations activities as hiring needs evolve.

What You'll Do
Applicant Tracking System and Reporting
  • Maintain accurate, complete, and current candidate records in the applicant tracking system, identifying and resolving duplicate records, stalled hiring pipelines, missing interview feedback, incorrect stage labels, and misplaced candidate applications.
  • Configure new hiring rounds in the ATS, including recruitment stages, interview kits, candidate evaluation forms, feedback workflows, and user permissions.
  • Maintain and improve recruiting templates to support consistent hiring administration and candidate evaluation processes.
  • Publish job openings on the careers page and distribute postings to external job boards and relevant professional communities.
  • Maintain an up-to-date hiring tracker to monitor recruiting activity, open positions, candidate progress, and hiring workflows.
  • Prepare recurring recruitment reports covering applicant pipeline volume, time to hire, hiring stage conversion rates, and candidate sourcing channels.
  • Manage ATS integrations and coordinate technical support with the IT team to maintain reliable recruiting systems and workflows.
Work Tests and Skills Assessments
  • Coordinate the complete administration of candidate work tests and skills assessments, including assessment distribution, submission tracking, reviewer coordination, and candidate payment processing.
  • Monitor assessment completion and ensure submitted work reaches the appropriate reviewers.
  • Assist with drafting, formatting, organizing, and filing candidate skills assessments and related evaluation materials.
Recruitment Administration and Candidate Coordination
  • Manage the recruitment inbox, respond to routine candidate inquiries, direct questions requiring additional decisions to the appropriate stakeholders, and maintain timely candidate correspondence.
  • Support recruiters by preparing and sending application status updates, rejection notices, interview instructions, and next-step communications.
  • Schedule and coordinate interviews across multiple time zones, balancing hiring manager availability, interviewer calendars, and candidate scheduling needs.
  • Provide additional administrative assistance to recruiters to keep active recruitment processes organized and moving forward.
Recruiting Development and People Operations Support
  • Gradually gain experience reviewing applications against established evaluation criteria and sourcing candidates for open positions as opportunities become available.
  • Provide administrative support to the People Operations team when recruiting activity decreases and capacity allows.
  • Assist with broader employee lifecycle activities as organizational needs evolve.
Qualifications
Required Experience
  • 1-3 years of experience in a coordination, administrative, or operations position, ideally involving recruitment or hiring support.
  • Hands‑on experience working with an applicant tracking system (ATS), customer relationship management (CRM) platform, or comparable software.
Required Skills
  • Ability to maintain accurate, organized, and up-to-date records, with strong attention to data quality and administrative detail.
  • Proficiency with spreadsheets and basic reporting, including organizing information and maintaining reliable operational records.
  • Strong organizational skills and attention to detail when coordinating multiple tasks, candidate records, and recruitment activities.
  • Clear, professional, and approachable written communication skills for responding to candidates and coordinating with internal stakeholders.
  • Ability to handle confidential candidate and employee information with appropriate discretion.
  • Comfort working remotely and communicating asynchronously with colleagues and candidates across multiple time zones.
  • Professional-level English proficiency, including the ability to communicate effectively in written English.
Preferred Qualifications
  • Experience using Lever or a comparable applicant tracking system.
  • Experience working in a small organization experiencing rapid growth.
  • Previous exposure to candidate sourcing, application screening, or other recruitment activities.
  • Experience coordinating recruitment processes involving candidates or hiring teams across multiple countries.
  • Comfort automating repetitive administrative tasks using Claude or other software integrations.
  • Interest in recruitment operations and developing toward a recruiter position over time.
  • Familiarity with and interest in the organization's research mission.

  • Life insurance and retirement contributions where applicable in the employee's country.
  • Unlimited paid time off, with a recommended minimum of 30 days annually, including local public holidays and vacation.
  • Unlimited personal and sick leave.
  • Up to four months of paid parental leave for permanent employees with at least 12 months of tenure, prorated for shorter tenure and taken within the first year following birth or adoption.
