Job summary

VSP Vision is hiring an HR Administrative Specialist to provide high level confidential support within the Human Resources department, including recruitment, benefits, recordkeeping, and system administration. You will support HR staff and leaders, manage job postings, and coordinate onboarding for new hires to ensure accuracy and timely completion of forms.

  • Excellent written and verbal communication skills with some experience giving presentations.
  • Ability to meet tight deadlines and manage multitask workload.
  • Experience navigating HRIS, ATS and multiple vendor sites.

  • Coordinate new hire activities and onboarding forms.
  • Support the Pathways to Premier Program with job postings and requisition support.
  • Run reports and submit employee referral program payouts.

Job description

With minimum supervision, provide high level, confidential administrative support in the Human Resources department including but not limited to HR staff, VSP employees and leaders, recruitment, benefits, recordkeeping, and system administration.

Provide high level, confidential administrative support to the HR recruitment function including programs, projects, and other general HR support as needed.

Conduct research, analyze data and make recommendations as requested regarding vendors, programs, and internal processes. Coordinate miscellaneous activities.

Prepare and manage online job postings to ensure that all jobs are represented accurately and posted in a timely manner. Maintain and recommend improvements to the VSP Careers site as it relates to job postings and recruitment. Use online applicant tracking system for to manage job postings and candidate activities.

Accurately and compliantly complete Federal Form I-9 in coordination with joining VSP employees. Monitor USCIS guidelines for compliant completion of I-9s to ensure changes are implemented.

Serve as liaison with vendor contacts to research and resolve issues.

Provide advice and counsel to hiring managers, VSP employees and external applicants regarding issues related to Talent Acquisition.

Manage new hire activities, including proactive communication to hiring managers regarding new hire progress and timely completion of onboarding forms.

Provide administrative support to the Pathways to Premier Program, including requisition support and job postings to VSP Careers site and external partner sites.

Run reports and accurately submit employee referral program payouts.

Ensure accurate and timely completion of new employee forms for all new hires.

Manage background checks, drug screens, and employment verifications, ensure completed screens meet employment standards.

Address requests and issues independently, however, may rely on HR centers of excellences (COE), such as HR business partners, compensation, benefits, disability management and/or payroll for more complex or appropriately escalated inquiries.

Job Specifications
Typically has the following skills or abilities:
  • Two to four years of experience providing high level administrative service and/or has supported projects
  • Knowledge of Human Resources general practices and principles
  • Proficient with spreadsheet, word processing and presentation applications (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills with some experience giving presentations
  • Ability to meet tight deadlines and manage multi-tasked workload
  • Ability to navigate through multiple computer applications including, but not limited to HRIS, intranet, multiple Applicant Tracking Systems and external vendor sites; and knowledge of various computer software applications
  • For roles that are remote (i.e., Work From Home (WFM)) or hybrid (i.e., partial onsite at a VSP location and WFM), must demonstrate a high level of engagement in virtual environments, including maintaining camera presence during meetings to support effective communication and team alignment

Compensation range for the role is listed below. Applicable salary ranges may differ across markets. Actual pay will be determined based on experience and other job-related factors permitted by law. Salary Ranges: $17.85 - $28.88
