Job description

Reports to: VP, Talent & Development

Team: Talent & Development (T&D)

Schedule: Full time, 35–40 hours per week

Location: Hybrid; 2–3 days per week in our Omaha, NE office

Compensation: $25–$27/hr, commensurate with experience

Education: Associate’s degree or equivalent work experience

Veterinary students and new associates are deciding right now where to start their careers. This role makes sure HVP is the employer they remember for the right reasons: responsive, honest, and easy to work with.

About Heritage Vet Partners

Heritage Vet Partners (HVP) is one of the fastest-growing rural veterinary networks in the country, with practices across the Midwest, Plains, and beyond. Each practice keeps its own legacy and culture. We provide support so our veterinarians can focus on their patients, their clients, and their lives outside of work.

Our vision is to be the leader in rural veterinary practice, delivering sustainable, collaborative, and innovative animal health solutions across all species, securing the future of rural veterinary practice for generations to come.

About The Talent & Development Team

The Talent & Development (T&D) team leads HVP’s people strategy. We recruit the veterinarians and team members who keep our practices running, build relationships with veterinary students long before graduation, and invest in the mentorship that makes HVP a place people choose to stay.

Role Overview
Candidate Experience

Veterinary students and early-career associates have meaningful choices—and they notice how an employer treats them long before an offer is made. As Talent Acquisition Coordinator, you will own the day-to-day candidate experience for veterinary students, associate veterinarians, and priority support center roles, ensuring each interaction is timely, clear, and engaging.

People, Systems & Recruiting Operations

This role combines relationship-building with strong operational and technical skills. You will:

  • Manage candidate communications and follow-up
  • Keep recruiting platforms accurate, aligned, and up to date
  • Support applicant screening and prepare recruiting reports
  • Strengthen HVP’s presence with students through campus outreach and social media

You will partner directly with the VP, Talent & Development, who leads recruiting strategy and analysis. While the VP sets direction, you will ensure candidates experience HVP positively and consistently—from first contact through offer.

Agentic AI

Agentic AI is part of how we work every day, and it will be an essential tool in this role. The ideal candidate already uses AI to complete meaningful work and is eager to keep building those skills.

What You’ll Do
Candidate Communication & Coordination
  • Manage the T&D shared Outlook inbox, responding directly when appropriate and routing or escalating messages to the right owner when needed.
  • Communicate promptly and clearly with veterinary students, associate DVM candidates, and support center applicants through the channels they use.
  • Provide consistent candidate experiences by ensuring every candidate understands their status and next steps.
  • Coordinate interviews, externships, rotations, and candidate follow-up.
Recruiting Systems & Workflow Management
  • Manage candidate records and recruiting tasks accurately across HVP’s core platforms: HubSpot for candidate relationships, Paylocity for applicant tracking and HR information, and Smartsheet for internal tracking.
  • Monitor recruiting and hiring workflows in Paylocity, identifying stalled candidates, incomplete steps, and overdue actions before they create delays.
  • Maintain complete, accurate candidate, requisition, and student records, resolving discrepancies promptly.
  • Track required student program documentation, including agreements, onboarding forms, and prerequisites.
Candidate Screening & Selection Support
  • Conduct initial candidate screenings using role requirements and criteria established by the VP and hiring managers.
  • Summarize screening findings and route recommendations to the VP or hiring manager for decision‑making.
  • Prepare clear, organized candidate materials and summaries for hiring managers.
Social Media & Campus Engagement
  • Manage day-to-day social media for student and campus recruiting by planning and scheduling posts, monitoring engagement, and responding to student questions in an approachable, on-brand voice.
  • Support campus relationship programs through student organization outreach, career fair and event promotion, and timely follow‑up with students met on campus.
  • Coordinate job advertising campaigns across social media platforms and job boards.
  • Partner with HVP’s Marketing Specialist to ensure all candidate‑facing content is consistent and on brand.
Recruiting Reporting & Insights
  • Run established recruiting reports on schedule, including pipeline status, time in stage, source performance, and campaign results.
  • Verify report data for accuracy and completeness before sharing it with the VP.
  • Identify and flag anomalies, emerging trends, and data gaps for the VP’s review.
  • Compile job board, campaign, and market data as requested.
Agentic AI & Continuous Learning
  • Use agentic AI tools daily to draft communications, process candidate data, complete multi‑step tasks, and coordinate work across platforms.
  • Develop and refine prompts, templates, and AI‑assisted workflows that make recurring work faster, clearer, and more consistent.
  • Work independently after onboarding, using available time to learn new tools and deepen your talent acquisition knowledge once core responsibilities are complete.
  • Understand organizational priorities and focus time and effort on the work with the greatest impact.
  • Identify workflow friction and recommend practical improvements using existing tools.
What We’re Looking For
Required Qualifications
  • At least 1–2 years of experience in recruiting coordination, talent acquisition, or another candidate‑facing HR role.
  • Hands‑on experience with at least one applicant tracking system and one CRM, with the ability to learn new platforms quickly.
  • Demonstrated ability to use agentic AI tools for multi‑step work—not just one‑off prompts. HVP uses Claude and Microsoft Copilot; comparable experience with similar AI platforms is welcome.
  • Strong social media skills across LinkedIn, Instagram, and Facebook, with an understanding of what engages students and early‑career professionals.
  • Experience managing a high‑volume shared inbox, with sound judgment about when to respond, route, or accelerate.
  • Experience screening candidates against defined role criteria.
  • Working knowledge of Microsoft 365, including Outlook, Teams, Excel, and SharePoint, with experience running and updating reports in Excel.
  • Exceptional attention to detail and a commitment to maintaining clean, reliable data.
  • Strong time‑management skills and sound judgment when prioritizing high‑impact work.
  • Clear, professional written communication that feels genuine rather than scripted.
  • Ability to work independently in a hybrid remote environment after onboarding.
Preferred Qualifications (we’ll Train The Right Person)
  • Experience with HubSpot, Paylocity, Smartsheet, Claude, or Microsoft Copilot.
  • Experience in campus recruiting, university relations, or student‑focused outreach.
  • Experience recruiting healthcare professionals, clinicians, or students.
  • Familiarity with job advertising platforms such as Indeed, LinkedIn, Handshake, or specialty veterinary job boards.
  • Exposure to veterinary clinics, agriculture, or animal health environments.
  • An associate or bachelor’s degree in human resources, business, communications, or a related field.
Who Thrives Here

You’ll thrive at HVP if you bring our values to every candidate and colleague interaction:

  • Team First — Step in where the team needs support and build strong partnerships with hiring managers.
  • Earned Trust — Follow through consistently so candidates and colleagues know they can count on you.
  • Straightforward Integrity — Communicate honestly and respectfully, even when the answers may be challenging.
  • Balanced Dedication — Work with purpose, manage your time well, and keep important priorities moving.
  • Everyday Excellence — Maintain high standards for data, details, and candidate experience—even when no one is watching.

You’re curious, resourceful, and energized by solving problems. You understand how students and early‑career professionals explore opportunities and choose where to build their careers. A veterinary background is not required, but a connection to the mission is: rural communities depend on their veterinarians, and the next generation is deciding where to begin right now.

What We Offer
  • Flexible hybrid work: A full-time, 35–40‑hour schedule split between remote work and our Omaha office alongside the HR team.
  • Competitive compensation: $25–$27 per hour, commensurate with experience.
  • Robust benefits: Medical, dental, vision, LTD/STD insurance, 401‑K with 4% match, and more!
  • Direct mentorship: Work closely with the VP, Talent & Development.
  • Broad talent acquisition experience: Gain hands‑on exposure to the full recruiting lifecycle and a modern technology stack, including agentic AI.
  • Meaningful ownership: Shape and improve the candidate’s experience from first contact through offer.
  • Room to grow: Build your skills in a fast‑growing organization whose work supports rural communities.

All applicants are considered for all positions without regard to race, religion, color, sex, gender, sexual orientation, pregnancy, age, national origin, ancestry, physical/mental disability, medical condition, military/veteran status, genetic information, marital status, ethnicity, citizenship or immigration status, or any other protected classification, in accordance with applicable federal, state, and local laws. By completing this application, you are seeking to join a team of hardworking professionals dedicated to consistently delivering outstanding service to our customers and contributing to the financial success of the organization, its clients, and its employees. Equal access to programs, services, and employment is available to all qualified people.
