GAI Consultants Inc. is seeking a Marketing Specialist for our Transportation & Infrastructure team to coordinate pursuits, prepare proposals, LOIs, qualifications, and presentations. You will produce marketing collateral and support business development with staff across marketing, technical, and administrative groups.

Qualifications

• 5+ years of experience as a proposal specialist/coordinator.

Marketing Specialist – Transportation & Infrastructure

GAI seeks a skilled, highly motivated, results-driven Marketing Specialist to join our dynamic Transportation & Infrastructure team. This challenging and rewarding position will include coordinating the pursuit process and preparation of winning proposals, LOIs, qualifications, and presentations; producing marketing collateral; and supporting business‑development goals in collaboration with GAI’s business sector leaders and marketing, technical, and administrative staff.

Essential Duties and Responsibilities

• Participate in kick‑off meetings, proposal task scheduling, review, production, and delivery activities.
• Follow through with assigned proposal tasks to meet critical deadlines.
• Coordinate with internal and external points of contact to gather requested information and materials.
• Track proposal efforts and ensure scheduled milestones are met.
• Assist in writing marketing and technical content.
• Proofread to ensure continuity and compliance with legal, technical, and marketing specifications.
• Support presentation efforts including presentation development, rehearsals, materials, and logistics.
• Maintain and populate detailed data in GAI’s Deltek Vantagepoint database.
• Provide assistance of marketing activities to support pursuit, client, and business plan objectives and contribute to the implementation of these activities including but not limited to conferences, events, sponsorships, design award submittals, speaker proposals/presentations, brochures, service briefs, project profiles, etc.
• Assist in carrying out other programs and projects as identified.

Qualifications

• 5+ years of related experience as a proposal specialist/coordinator; prior AEC industry experience preferred.
• Associate or bachelor's degree with a focus in business, marketing, or related area.
• Associate degree in Marketing (required) or Bachelor's of Marketing (preferred).
• Previous proposal experience in the AEC industry (preferred).

Competency

• Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
• Proficiency with Adobe Creative Suite.
• Deltek Vantagepoint (or similar database programs) experience is a plus.
• Competent proofreading and editing skills.
• Excellent communication and organizational skills.
• Able to document and process information quickly and accurately, with strong attention to detail.
• Flexible and able to balance priorities and manage multiple tasks simultaneously within tight schedules.
• Able to work both independently and as part of a team.
• Able to work flexible hours, including nights and weekends, on a limited basis, to meet proposal deadlines.
• Able to travel to surrounding states several times throughout the year.
• Must have a vehicle for local travel (required).

General Characteristics

• Demonstrates critical thinking skills, works on small projects or portions of larger projects; assists Task Managers with aspects of projects; proactively implements Quality Management System (QMS) for project deliverables.
• If assigned as direct supervisor, skilled at mentoring; decision making and conflict resolution; delegate tasks effectively; demonstrate responsibility and leadership skills; role model for others to follow.
• Collaborates, supports, and oversees development and implementation of various business development support, marketing, proposal, and strategic planning efforts for a market(s) or specialized area(s).

Minimum Years of Experience

5 Years Experience.

Education

Bachelor's Degree in Marketing, Communications, or related field.

Certification/Licensure

Driver’s License.

Technical Responsibilities

• Collaborates under direction and supervision of senior staff across one or more areas: proposals, special projects, business development activities, data management.
• Leads smaller or less complex to mid‑size proposal efforts; supports larger or more complex efforts under senior staff supervision.
• Leads and supports special projects under senior staff supervision.
• Leads and supports business development activities, including sponsorships, advertising, client events, conferences, etc., from smaller to more complex under senior staff supervision.
• Leads updating of data management systems related to assignments that the individual is leading; may lead special data management projects.

Project and Task Management

• Works as part of a team and coordinates work with others.
• Assists in determining schedule and budget requirements.

Management Responsibility

• Assigns and oversees tasks under the direct supervision of the task manager, maintaining budgets and schedules; keeps close communication with Task Managers; assists Project Managers or Task Managers with proposal preparation; scopes work and project component cost estimates.
• Receives guidance and oversight from Task Managers and Project Managers.
• If assigned as a direct supervisor, receives guidance and oversight from Business Managers and/or experts in specific marketing areas.

Communication Skills

• Possesses effective oral and written communication skills; interacts well with staff; interacts with clients with close oversight; interacts closely with Project Managers and various departmental managerial staff; performs well with client communications.
• If assigned as direct supervisor, emphasizes listening skills; interacts with employees and managerial staff regarding performance, hiring, coordination with HR on staff issues; keeps employees informed of company news and policy changes.
