Job summary

Qualifications

Job Title: Systems Administration Analysis-Health Systems
Department: Optometry | Academics

The Ohio State University College of Optometry seeks a Health Systems Analyst 2. Located at The Optometry Clinic at the corner of Neil and 11th Avenues, this role collaborates with Optometry Services Clinic Staff, Optometry's IT unit, the central Office of Technology and Digital Innovation (OTDI), and Wexner Medical Center IT. The analyst supports the configuration and functional operation of the College of Optometry’s Electronic Health Records (EHR), practice management system, and its Application Programming Interfaces (API) to address the academic, clinical, research, and administrative needs of the college. Currently, the position supports two campus buildings and four remote clinics. With expansion on the horizon, it's a dynamic role at the forefront of our operations.

The Health Systems Analyst 2 (ITTSYSS2) enhances clinical information systems with an emphasis on user-friendly interfaces, efficient workflows, and ensuring seamless interaction for diverse user groups, including patients, administrative staff, clinic staff, optometry interns, and optometry faculty. The HSA 2 works closely with the IT department to ensure that user interfaces and patient-facing systems integrate seamlessly with backend systems and infrastructure and maintain day-to-day operational integrity. The analyst will collaborate with faculty, clinic staff, and others in business and clinical operations to enhance the functionality of EHR software and related systems to maximize practice management productivity, patient care, and patient satisfaction. Communicates with stakeholders to align EHR functional capability with healthcare regulations, optometric clinical education, and clinic business processes. Actively investigates and evaluates system updates and enhancements, then coordinates and executes updates and upgrades to EHR system. Analyzes, develops, and prioritizes short and long-term plans for the EHR system in coordination with existing and future vendors. Manages and maintains active, training, test, reporting, proof of concept, and backup copies of EHR software. Optimizes patient satisfaction surveys, patient reminder systems, recall systems, check-in interfaces, clinic telephony interfaces, clinic equipment interfaces, digital imaging systems, and online sales and payment systems, ensuring they are accurate, efficient, and user-centric.

Creates scripts, optimizes tasks, and enhances system functionalities tailored to clinic operations as well as back-end systems. Manages and designs databases, while proactively seeking system enhancement opportunities. Crafts SQL queries to facilitate both administrative and research endeavors. Takes charge of user acceptance testing (UAT) for any newly developed or modified systems to ensure that they meet user requirements and are intuitive to use. Champions change management practices, ensuring smooth transitions for system updates and overhauls, while diligently documenting processes, user guidelines, and system modifications to promote consistent understanding and usage across all stakeholders. Assesses and evaluates clinical demands, identifies strategies to improve user interaction, system stability, and enhanced effectiveness. Provides regular communication and consultation to the Associate Dean of Clinical Services and Director of IT. Maintains relationships with clinic vendors and up-to-date knowledge of clinic technologies. Maintains accurate records of clinic assets focused on software assets and licensing.

Designs clinical information systems with a focus on security, strategically assessing and mitigating various system risks in accordance with HIPAA (Health Insurance Portability and Accountability Act), the university Information Security Control Requirements (ISCR), and other policies and regulations.

Coordinates support with the Director of Building Services to interface ophthalmic testing equipment with image management systems. Provides support to the Desktop Support Engineer to troubleshoot and configure end-user clinic computing and peripherals.

Addresses helpdesk requests in a timely fashion, prioritizes and tracks problems to resolution, and escalates issues as necessary. Provides clear, comprehensive feedback and instruction to HelpDesk users on the appropriate uses of technology. Knows and follows data security best practices and all applicable policies and/or regulations according to the college and university policy. Serves as a member of the EHR Committee and Clinic Staff Meetings.

Attends training workshops, product demonstrations, conferences, technical briefings, and conventions Must be available to work a flexible schedule, as needed, to accomplish work. Performs other duties as assigned by the Associate Dean of Clinical Services and Director of IT.
