Job summary

Hartford HealthCare Medical Group seeks a Surgical Scheduler to coordinate hospital-based procedures in collaboration with physicians and staff. You will ensure pre-op workups, scheduling blocks, and manage insurance authorizations using EPIC for documentation.

Strong organizational skills, knowledge of CPT/ICD-10, and clear communication are essential to support patient care and efficient operating room flow in a busy clinical setting.

Qualifications

• Three years of experience in a healthcare setting required.
• Knowledge of medical and insurance terminology, CPT and ICD-10 coding required.
• Epic experience preferred
• Exceptional organization skills and attention to detail
• Ability to communicate in other languages is highly desirable

Responsibilities

Job Summary

Responsible for scheduling hospital-based procedures/surgeries in accordance with physician’s orders and insurance requirements, ensuring all necessary paperwork and required tests needed prior to surgery are accurately completed, and clearly communicated pre- and post-surgery instructions to patients. Ensures reconciliation of all dropped charges to ensure they match authorized procedures and elevate to appropriate parties, if necessary. Responsible for maintaining and managing resources, including insurance portal access, and provides consistent documentation in EPIC to support the obtained insurance authorization. Communicates changes in payer and or federal regulatory guidelines to their manager, pharmacy staff, providers and other clinical departments, as applicable.

• Communicates with patient to provide pre- and post-surgery instructions, and obtains completed consent forms and required tests or preparations needed prior to surgery. Prepares and distributes surgery packets to patients. Keeps physician and clinical staff informed regarding pre-op testing and maintains updated documentation and charts available for physician review. Coordination with hospital staff for scheduling according to assigned block time and collaboration with hospital teams for inpatient case coordination and add-ons.
• Ensures necessary H&P, surgical clearance, blood work and other patient tests are completed. Scan all necessary clinical documents.
• Contacts insurance company to obtain pre-certification of surgeries based on booking sheet and documents in chart. Responsible for maintaining and obtaining all surgical authorizations. Updates surgical authorizations with changes related to booked cases.
