Job Profile Summary

Location: New England Eye Center, 260 Tremont Street, 10th Floor, Boston, MA 02116

Hours: 8:30am-5pm

Language Requirement: Fluent in English and Cantonese

Job Overview: This position monitors and coordinates all surgical scheduling functions for the department, including answering patient inquiries, conducting initial patient interviews, scheduling and facilitating surgical dates with patients and families or other support systems. Ensures surgeon preferences regarding surgical sites, assistants, processes, and additional materials are met. Provides complete pre-op surgical packets to the proper surgical location, ensuring surgeries proceed as scheduled, and assists the surgical biller with accurate and timely coding and billing information. Establishes systems to monitor and track department surgical functions and acts as a liaison between the department, other departments, and external organizations.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Two (2) years of experience with scheduling clinical procedures.

Duties and Responsibilities:

  • Coordinates scheduling of surgical sites and appointments for physicians to maximize utilization while adhering to standards and regulations.
  • Conducts patient interviews to document pre-operative status.
  • Arranges pre-op tests and surgical procedures.
  • Gathers and submits all pre-op information to ensure patient readiness for surgery.
  • Records codes for surgical procedures, reports charges, and communicates with surgeons for missing codes within 24 hours.
  • Retrieves operative notes within 24 hours and ensures proper filing.
  • Maintains a surgical log with patient data, surgery details, billing information, and reimbursements.
  • Communicates with the manager and reports issues promptly.
  • Contributes to policy updates related to surgical scheduling.
  • Coordinates with billing for reimbursement and handles patient inquiries regarding billing.
  • Verifies surgical referral and authorization.
  • Prepares and distributes patient information packets and maintains supplies.
  • Collaborates with other departments and external organizations.
  • Ensures patient pre-operative clearance by liaising with primary care physicians.
  • Responds to last-minute patient questions and maintains team relationships.
  • Informs patients of pre-operative guidelines and forwards information packets.

Physical Requirements:

  • Sitting frequently, standing or working occasionally, lifting 10-15 lbs.
  • Exposure to dust and typical office discomforts.
  • Manual dexterity for computer operations.
  • Ability to see and read reports and instructions.
  • Ability to hear instructions from staff.

Skills & Abilities:

  • Proficiency in computer applications, including word processing and spreadsheets.
  • Excellent interpersonal, customer service, and telephone skills.
  • High tact due to interactions with patients, physicians, and insurance companies.
  • Knowledge of medical terminology and CPT coding.
  • Strong organizational skills with attention to detail.
  • Ability to work independently and prioritize tasks.
  • Self-motivated and flexible with work assignments.
