Hours: 8:30am-5pm

Job Overview

This position monitors and coordinates all surgical scheduling functions for the department, including answering patient inquiries, initial patient interviews, scheduling and facilitating surgical dates with patients and families or other support systems, ensuring surgeon preferences regarding surgical sites, assistants, processes, and additional materials are met. It provides complete pre-op surgical packets to the proper surgical location, assures surgeries proceed as scheduled, and assists the surgical biller with accurate and timely coding and billing information. The role also involves establishing systems to monitor and track departmental surgical functions and acting as a liaison between the department, other hospital departments, and external organizations.

Job Description

Minimum Qualifications:

  1. High school diploma or equivalent.
  2. Two (2) years of experience with scheduling clinical procedures.
Duties and Responsibilities
  1. Coordinate scheduling of surgical sites and appointments for all physicians to maximize utilization while adhering to hospital standards.
  2. Conduct patient interviews to document pre-operative status.
  3. Make arrangements to qualify patients for surgery.
  4. Coordinate all pre-op tests and procedures.
  5. Gather and generate all pre-op information and submit complete surgical packages to the surgical facility.
  6. Follow CPT coding policies, record procedure codes, and assist with billing reports.
  7. Retrieve operative notes and ensure proper documentation in patient charts and billing.
  8. Maintain a surgical log with patient data, surgery details, and billing information.
  9. Maintain communication with the manager and report issues promptly.
  10. Contribute to policy creation and updates related to surgical scheduling.
  11. Work with billing to ensure proper billing and reimbursement.
  12. Verify surgical referrals and authorizations.
  13. Update patient information packets and maintain supplies.
  14. Represent department relationships within Tufts Medical Center.
  15. Resolve billing inquiries and complaints with the billing coordinator.
  16. Ensure pre-operative clearance by communicating with primary care physicians.
  17. Respond to patient questions prior to surgery.
  18. Maintain positive team relationships and foster a collaborative work environment.
  19. Inform patients of pre-operative guidelines and forward information packets.
Physical Requirements
  1. Frequent sitting, occasional standing, lifting 10-15 lbs.
  2. Exposure to dust and office discomforts.
  3. Manual dexterity for computer use.
