Job summary

Ohio State University Physicians is seeking a Surgical Scheduler to manage active, accurate surgery schedules across providers and service lines. You will coordinate with hospitals, ambulatory centers, and pre-operative teams to ensure timely procedures and documentation, while delivering excellent patient service.

Qualifications

  • High School diploma required.
  • 2+ years of experience in healthcare scheduling or similar setting.
  • Epic Experience preferred.

Responsibilities

  • Coordinate all surgeries and procedures for assigned providers and service lines.
  • Schedule pre-operative testing, communicate surgery orders, and collect required documentation.
  • Work with patients, physicians, staff and OR to ensure timely scheduling.
  • Provide administrative support and resolve routine to complex scheduling questions.
  • Serve as liaison between patients, providers and hospitals for a seamless scheduling experience.
  • Prioritize tasks and manage deadlines in a high-volume environment.

Responsibilities
  • Ensure, organize, and maintain an active, accurate, and operational surgery schedule by coordinatingall surgeries and procedures for assigned providers and service lines.
  • Coordinate surgical procedures with multiple hospitals and ambulatory surgery centers, schedule and coordinate pre-operative testing, communicate surgery orders, and collect necessary documentation for surgeries.
  • Work closely with patients, physicians, staff and operating rooms to provide accurate, timely, and responsive scheduling.
  • Provide administrative support. Solve routine and complex customer problems directs customers to address specific questions.
  • Interact with patients, patients' families, referring physicians and third party carriers with regard to patient-related issues.
  • Independent judgment is required to plan, prioritize, and organize a diversified workload.
  • Communicate regularly with clinical staff, medical secretaries and staff within the product/service line to ensure customer and department staff needs are met including, but not limited to, maximizing the departments time and utilization.
  • Manage and maintain accurate surgical schedules for assigned providers and service lines, ensuring all cases are coordinated efficiently and scheduled appropriately.
  • Coordinate all aspects of the surgical scheduling process, including procedures with hospitals and ambulatory surgery centers, pre-operative testing, surgery orders, and required documentation.
  • Serve as a primary liaison between patients, providers, clinical staff, operating room personnel, and external partners to ensure a seamless scheduling experience.
  • Provide exceptional customer service by addressing questions, resolving scheduling issues, and guiding patients and families through the surgical scheduling process.
  • Communicate professionally with physicians, patients, insurance carriers, and interdisciplinary teams to support timely and effective patient care.
  • Independently prioritize tasks, manage competing deadlines, and maintain accuracy while handling a high-volume workload.
  • Collaborate with leadership and team members to identify and resolve scheduling concerns, workflow challenges, and operational issues.
  • Maximize operating room utilization through strategic scheduling, creative problem-solving, and flexibility in responding to schedule changes and last-minute adjustments.
  • Work collaboratively with the whole Surgery Scheduling team, including cross-training and providing coverage when needed.
  • Support departmental initiatives and perform additional duties as assigned to meet operational goals.
Qualifications

Surgical Scheduler Requirements:

  • High School diploma

  • 2 or more years of experience in a healthcare environment or equivalent combination of education and experience.

Preferences:

  • Epic Experience

Knowledge,Skills,and Abilities:

  • Knowledge and strong and efficient interpersonal, verbal, and written communication.

  • Must have high level of interpersonal skills to handle sensitive and confidential situations.

  • Position continually requires demonstrated poise, tact and diplomacy.

  • Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MS Word, Excel, Access, PowerPoint).

  • Work requires continual attention to detail in composing,typingand proofing materials,establishingpriorities and meeting deadlines

Pay Range

USD $19.55 - USD $29.33 /Hr.
