Qualifications

  • Knowledge of CPT-4 and ICD-10 codes used in health care billing.
  • Intermediate proficiency in Outlook, Word and Excel.

Responsibilities

  • Verify demographic and financial information under supervision.
  • Explain estimated out-of-pocket costs and payment options to patients.
  • Provide information on appointment and procedure reporting locations.
  • Schedule recalls and patient appointments as needed.
  • Obtain prior authorizations from payers and review medical documentation.
  • Review chart documentation for medical policy compliance.
  • Prioritize and follow up on authorization requests and denials.
  • Notify patients about authorization status and file related documents.
  • Comply with HIPAA policies and procedures.
  • Provide front office coverage and assist with check-in/out and registration as required.

JOB SUMMARY


  • Under the direct supervision of the Front Office Supervisor and Practice Manager, the representative verifies demographic and financial information.

  • Seeks to help patients understand their financial responsibilities by providing estimated out-of-pocket costs and payment options, while delivering exceptional customer service to set the tone for the patient's journey of care and manage financial expectations prior to clinic appointments or surgery.

  • Provides information to patients regarding when and where to report for appointments and procedures.

  • Schedules appointments in response to recalls on procedures.

  • Responsible for performing all tasks related to obtaining prior authorizations from payers for services.

  • Reviews chart documentation to ensure patients meet medical policy guidelines.

  • Prioritizes incoming prior authorization requests according to urgency and follows up regularly on pending cases and denied authorizations.

  • Contacts patients regarding authorization status and scans all related documentation into the patient's medical record.

  • Complies with all HIPAA policies and procedures.

  • Serves as a cross‑trained resource and provides front office coverage as needed to support patient access, maintain workflow efficiency, and ensure continuity of operations during periods of high patient volume, staff absences, or other coverage needs.

  • Assists with front desk responsibilities, including patient check‑in/check‑out, appointment scheduling, registration, and other administrative functions as required to support clinic operations and maintain a positive patient experience.


JOB QUALIFICATIONS


  • Education: Completion of a high school diploma required. College level courses preferred.

  • Licensure: N/A

  • Experience: Prefer previous work experience in a position of meeting and communicating with the public. Prefer 1 to 2 years' experience in a hospital billing office, medical office registration, medical billing office or other health care setting.

  • Skills: Excellent oral and written communication skills in order to effectively interact with internal and external customers. Knowledge of medical terminology and third‑party payer terminology. At least a minimal understanding of how CPT‑4 and ICD‑10 codes are used in health care billing. Intermediate proficiency in Microsoft Outlook, Word and Excel.
