IR Centers at New Jersey Urology (NJU) seeks a Medical Receptionist / Surgical Scheduler to greet patients, check them in for appointments, and manage referral calls. You will schedule consultations and procedures with timeliness and professionalism in a private outpatient setting.

Responsibilities include using EMR to align physician availability with patient needs, maintaining accurate records, and communicating with clinicians and staff.

• Serve as first point of contact for patients at our practice.
• Use sound judgment when handling sensitive medical information.
• Answer calls within three-four rings for timely service.
• Accurately schedule appointments and update demographics/insurance.
• Confirm, cancel, reschedule, and update patient appointments.
• Match physician availability with patient needs in EMR.
• Schedule appointments based on clinic guidelines and staffing.
• Maintain scheduling systems and keep patient records current.
• Communicate with physicians and staff about scheduling concerns; consult office manager on issues.
• Process requests from other medical offices (faxing records, etc.).
• Address patient concerns efficiently and professionally; apply customer service principles.
• Handle other clerical duties as assigned by the office manager.

As a Medical Receptionist / Surgical Scheduler with NJU, you’ll play a key role in welcoming patients, checking them in for their appointments, and managing referral calls. Your primary responsibility will be reaching out to referred patients to schedule consultations and procedures in a timely, professional manner.

Qualifications:

• High school diploma or equivalent
• 2 years of medical scheduling experience
• English
• Bilingual (Preferred)

Responsibilities:

• Greet callers warmly & provide courteous service
• Understand the responsibility of serving as the first point of contact for patients at our practice
• Use sound judgment in handling calls, especially when dealing with highly sensitive medical information
• Answers calls within three-four rings
• When scheduling patients, be sure to add and update demographics and insurance information for patients thoroughly & accurately
• Confirm, cancel, reschedule and update patient appointments at request of patient and/or provider
• Use the EMR system to match physician/clinician availability with the patient's needs and preferences in terms of date and time
• Able to accurately schedule appointments based on clinic and practice guidelines and specifications
• Maintain and regularly update scheduling systems so patient records are accurate and complete and can be used to analyze patient/staffing needs and patterns
• Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with the office manager about any system problems
• Effectively communicate and complete requests from other medical offices (faxing patient medical records, or other information as requested)
• Address patient concerns efficiently and effectively
• Uses customer service principles and techniques to deal with patients calmly and pleasantly
• Other clerical duties as assigned by the office manager/administrator
