Specialty1 Partners’ Randolph Center for OMS - Hackettstown seeks a Surgical Coordinator to streamline the surgical process—from scheduling to post-operative care—delivering an exceptional patient experience in a fast-paced specialty practice.

The role serves as main liaison among patients, surgeons, and insurers, coordinating procedures, preparing charts, obtaining consents, verifying coverage, and communicating costs while maintaining HIPAA-compliant records and coordinating with the team.

Qualifications

• 1+ years of experience in a medical or dental office, with surgery coordination preferred.
• Strong organizational and multitasking abilities, managing multiple schedules and priorities.
• Excellent verbal and written communication skills with a focus on patient care.
• Working knowledge of insurance verification and billing processes for surgical procedures.
• Proficiency in using patient management software and office applications.
• Understanding of HIPAA regulations and patient confidentiality.

Responsibilities

• Coordinate and schedule surgical procedures to optimize surgeon time and resources.
• Prepare surgical charts and ensure equipment and supplies are ready for procedures.
• Provide pre- and post-operative instructions to patients and be the main contact.
• Obtain and review surgical consent forms to ensure understanding and risks.
• Verify insurance coverage and obtain pre-authorizations; communicate financial responsibilities.
• Present cost estimates and discuss payment options, offering flexible plans if needed.
• Maintain up-to-date patient records in HIPAA-compliant manner.
• Monitor inventory of surgical supplies and coordinate with vendors.
• Collaborate with surgical team to prepare staff for upcoming procedures.
• Communicate with referring physicians or dentists regarding patient status and updates.
