Job summary

Mountain Spring Podiatry is seeking an organized Surgical Scheduler to join our team in Virginia Beach. This full-time role coordinates scheduling, authorizations, pre-operative requirements, and communications among patients, providers, and facilities to ensure smooth procedures.

The ideal candidate has at least 2 years in surgical scheduling, experience with medical insurance processes, and strong attention to detail.

Qualifications

• High School diploma or equivalent.
• Minimum of two (2) years’ experience as a surgery scheduler.
• Experience with medical insurance processes, prior authorizations, and eligibility.
• Experience with Electronic Health Records (EHR), Athena preferred
• Excellent communication and interpersonal skills.
• Attention to detail and accuracy.

Responsibilities

• Coordinate and schedule outpatient procedures with patients, physicians, ambulatory surgery centers, and procedural staff.
• Serve as a primary point of contact for patients, providing education, scheduling assistance, and ongoing support throughout the care process.
• Obtain and track required insurance authorizations, referrals, and pre-operative clearances to ensure timely procedure scheduling.
• Communicate procedure instructions, preparation requirements, pre-operative testing needs, and post-procedure follow-up information to patients.
• Maintain accurate and up-to-date procedure schedules and patient records within the electronic health record (EHR) system.
• Ensure all required documentation, consents, medical records, and forms are completed, collected, and properly maintained.
• Respond promptly and professionally to inquiries from patients, providers, insurance carriers, and healthcare facilities.
• Collaborate with clinical, administrative, and operational teams to support efficient workflows and deliver exceptional patient care.
• Monitor scheduling changes and coordinate updates with all stakeholders to minimize disruptions and optimize patient access.
• Perform additional administrative and operational duties as assigned by leadership.
