Job summary

The Tampa Housing Authority is seeking a Support Specialist to provide essential administrative and clerical support within the Assisted Housing department. You will help manage records, prepare letters and reports, and assist applicants and residents with forms and documentation.

About this position

Job Title: Support Specialist

Department: Assisted Housing

Reports To: Supervisor, Assisted Housing

FLSA: Non-Exempt

Job Overview:

Provides a wide range of administrative and clerical support to help THA be highly effective and efficient in the assistance it provides to its customers and partners; in the reports it makes to regulatory authorities; and in the service it provides to the public.

Responsibilities and Essential Duties:

  • Organize and maintain hard copies and electronic files. Administer the maintenance, retention, storage, and archiving of essential records and files.
  • Create letters, documents, and reports.
  • Maintain and manage records and database information in various computer programs which may include Microsoft Word, Excel, File Vision, and others.
  • Assemble and mail verification forms, annual recertification packets, contracts, and other documents in timely fashion.
  • Schedule, notify and conduct applicant meetings for the purpose of assisting applicants in the completion and submission of forms and documents.
  • Handle and process all incoming mail for the inspectors and distribute as necessary.
  • Create and mail miscellaneous correspondence. Generate address labels and perform tasks necessary for mass mailings and certified mailings.
  • Answer telephone, greet visitors and answer inquiries from residents, landlords, staff, and supervisors, and from the general public in a professional and courteous manner.

Required Qualifications:

  • High School graduation or GED equivalent.

Experience:

  • Six (6) months of experience in an office environment.

Specific skills:

  • Must be able to communicate effectively both orally and in writing.
  • Must possess strong organizational and computer skills, including Microsoft Suite.

Personal characteristics:

  • Great people skills and the ability to be personable and professional
  • Excellent organization and attention to detail.

Physical abilities:

  • Must be able to remain in a stationary position 50% of the time.
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Clarity of vision at 20 inches or less. Ability to judge distances and spatial relationships to see objects where and as they actually are.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
