Position Information

Salary: Starting at $16.00 per hour, based on education and experience

Responsibilities
  • Serve as Property Control Manager to coordinate annual asset inventory review, tag assets upon arrival, monitor transfers of moveable property, maintain asset database, and coordinate surplus transfers to Louisiana Property Assistance Agency.
  • Maintain thorough knowledge of the division, operational structure, and Vice Chancellor for Finance’s scope of responsibilities, priorities, and commitments.
  • Schedule appointments/meetings for the VCF’s Office, maintain a calendar, confirm engagements, make travel arrangements, and request travel reimbursements.
  • Note and coordinate commitments made by the VCF and arrange for implementation.
  • Determine the importance of matters, prioritize, and take appropriate action.
  • Handle a wide variety of situations and conflicts involving the clerical administrative functions of the division of Finance while maintaining confidentiality and managing time sensitive materials.
  • Coordinate meetings, prepare agendas, research and monitor pending issues, record and transcribe minutes, and maintain permanent records for VCF’s meetings.
  • Assist HR with scheduling interviews and onboarding tasks.
  • Maintain confidentiality of employee and applicant records.
  • Provide clerical assistance with HR forms, requisitions, and reports.
  • Assist using all methods of communication: telephone, fax, email, and personal contact.
  • Screens visitors and telephone calls to the HR department.
  • Assist Business Office with basic finance-related documentation.
  • Prepare routine correspondence, including letters, memoranda, and reports; edit a variety of correspondence, materials, and reports for completeness, accuracy, and adherence to agency standards.
  • Assist in researching and preparing audit documents and coordinate audit-related tasks.
  • Maintain and update division files.
  • Assist with management of Adobe Sign processes for approvals and signatures.
  • Assist with project planning, coordination, and tracking for Finance and HR teams.
  • Support the implementation of departmental initiatives, ensuring timely completion of deliverables.
  • Track and order office supplies for Business Office and HR.
  • Assist with confidential matters, attend and record minutes at meetings regarding confidential matters.
  • Maintain the Finance department webpage and web‑portal sites.
  • Receive and deliver institutional mail daily to the mail room and offices within Business Office and HR.
  • Assist Finance divisions with the review of policies to ensure alignment with LCTC and State policies, drafting updated policies for review and implementation by division heads.
  • Perform other duties as required.
Required Qualifications

Education: Associate’s degree

Experience: Three years as an administrative assistant or related function in higher education, Human Resources, Finance, or a combination of all.

  • Ability to plan and accomplish goals with creativity and latitude.
  • Strong organizational skills reflecting the ability to perform and prioritize multiple tasks with attention to detail.
  • Teamwork ability on projects.
  • Proficiency with standard office equipment and networked computers.
  • Proficiency with or ability to become proficient in software, including Office 365 apps and Adobe Sign.
  • Clear and effective communication, both orally and written, at all levels.
  • Basic mathematical computation skills.
  • Planning, organizing, and prioritizing job duties to meet deadlines.
  • Maintaining professional working relationships at all levels—students, peers, and executives.
