Summary of Position

The Supply Chain Specialist II & Facilities Support is responsible for supporting and optimizing supply chain operations through effective inventory management, procurement support, vendor relations, ERP system administration, logistics coordination, and shipping and receiving activities. This role manages the flow of materials from sourcing through delivery by maintaining accurate inventory records, coordinating purchases, tracking shipments, reviewing invoices and inventory transactions, monitoring supplier performance, obtaining quotes, assisting with pricing analysis, and supporting accounts payable and procurement activities as needed. The position collaborates with internal departments and external suppliers to ensure material availability, cost-effective operations, and efficient logistics while utilizing data analysis and performance metrics to identify process improvements and drive operational efficiency. In addition, the role provides facilities support by coordinating facility vendors, maintenance services, and workplace readiness activities, and assists with audit preparation and compliance efforts by maintaining accurate documentation, inventory controls, and records to support internal and external audit requirements.

Key Job Elements

• Support and optimize the Pharma materials management program by collaborating with Operations, Quality Assurance, and Finance to ensure materials are accurately received, recorded, stored, and distributed in a timely, efficient, and compliant manner.
• Manage inventory levels across laboratory, production, and operational areas, including stock replenishment, expiration date tracking, labeling, and inventory accuracy to minimize waste and prevent material loss.
• Utilize ERP systems, barcode/box scanning tools, and other digital inventory platforms to maintain chain-of-custody tracking for high-volume, time-sensitive, and GxP-regulated materials, while continuously adopting new technologies to improve efficiency.
• Coordinate procurement activities including requisition processing, purchase order creation, supplier quotation requests, pricing support, purchase history maintenance, and ensuring proper approvals and ordering procedures are followed.
• Serve as the primary point of contact for vendors and suppliers, ensuring timely delivery of materials, resolving discrepancies, escalating issues as needed, and maintaining strong supplier relationships.
• Coordinate domestic and international shipping and receiving of GxP-regulated and general materials, ensuring compliance with GDP requirements, temperature control protocols, chain-of-custody standards, and all applicable regulatory guidelines.
• Receive, inspect, document, label, and process incoming materials and supplies, ensuring proper verification, documentation, and ERP system updates for all inventory movements, transfers, and adjustments.
• Maintain temperature monitoring logs and documentation to ensure product integrity during storage, handling, and shipment of regulated materials.
• Perform routine and scheduled inventory audits (weekly, monthly, quarterly, and annual), including cycle counts and physical inventories, to maintain accurate records and ensure compliance with internal policies and external regulatory requirements (including CAP and other applicable standards).
• Track and analyze inventory expiration dates, usage trends, and stock levels to reduce waste, prevent expired inventory, and ensure availability of critical materials.
• Maintain and update inventory-related documentation including SDS/MSDS sheets, Certificates of Analysis (COAs), purchase histories, and material records in compliance with regulatory and quality standards.
• Monitor warehouse and supply room operations, ensuring proper storage, handling, transfer, and distribution of materials while maintaining inventory integrity and compliance with procedures.
• Collect, analyze, and report on supply chain, logistics, procurement, and inventory performance metrics to support continuous improvement and identify opportunities for cost savings, efficiency gains, and waste reduction.
• Champion continuous improvement initiatives in receiving, warehousing, and logistics processes, focusing on chain-of-custody integrity, operational efficiency, and waste elimination.
• Support Accounts Payable by assisting with invoice matching, receipt verification, vendor inquiries, and resolution of discrepancies related to purchasing and receiving activities.
• Provide cross-functional support to Engineering, Operations, Production, QA, Finance, and Facilities teams regarding material availability, lead times, sourcing options, compliance requirements, and supply chain impacts.
• Support facilities management activities including coordination of facility vendors, maintenance requests, supply management, and workplace readiness initiatives.
• Ensure compliance with all applicable company policies, quality standards, and regulatory requirements, including CAP, GDP, and other relevant guidelines.
• Perform other duties as assigned in support of supply chain, logistics, procurement, facilities, and operational needs.

Qualifications

Knowledge/Experience

• High School Diploma with 5 years of professional experience in Purchasing, Inventory Control, or Vendor Relations required.
• Bachelor's Degree in Supply Chain Management, Logistics, Business, or Engineering preferred.
