Position Summary

The Supply Chain Specialist supports the process of turning project-related sales orders into actionable purchase orders, the point where an order becomes a real, trackable request to buy or transfer material. Working under the direction of the Supply Chain Manager, this role confirms which location will fulfill each order, executes purchasing for assigned scope, and helps keep inventory positioned correctly by maintaining reorder points and replenishment quantities.

Key Responsibilities
  • Convert released project requirements into purchase orders, following a standardized intake process across all company locations.
  • Confirm which location will manufacture or fulfill each order, who owns purchasing it, whether a transfer between locations is needed, and any special shipping instructions.
  • Apply the company's standard rules for assigning orders to the right location based on size and destination, escalating exceptions to the Supply Chain Manager and the project manager.
  • Confirm purchase orders with suppliers, manage promised-on dates, and maintain accurate purchase order status updates to support production and fulfillment timelines.
  • Execute purchasing for assigned scope consistent with the company's centralized purchasing model for standard components and localized ownership for raw materials by location.
  • Use consolidated purchase orders for stock replenishment where appropriate.
  • Maintain reorder points and replenishment quantities across managed inventory per established parameters, flagging service-level or excess-inventory concerns to the Supply Chain Manager.
  • Monitor inventory positions on an ongoing basis and recommend buying adjustments as demand trends shift.
  • Partner with the Inventory Supervisor to ensure reorder decisions are grounded in accurate, current inventory data.
  • Serve as a day-to-day point of contact for suppliers on order status and lead-time confirmations, escalating supplier performance issues to the Supply Chain Manager.
  • Support the Supply Chain Manager in preparing supplier business reviews and lead-time negotiations by compiling order history, lead-time, and performance data.
  • Follow documented workflow standards consistently, special shipping instructions recorded in the order system rather than email, and inter-location transfers initiated only by the team member responsible for that order, not warehouse staff.
  • Troubleshoot routine exceptions within the process and surface recurring issues and improvement ideas to the Supply Chain Manager.
  • Work closely with Project Management, Production, and warehouse teams to surface fulfillment of exceptions and capacity constraints for resolution.

Preferred Qualifications
  • 02 years of experience in procurement, purchasing, or supply chain planning, or a degree in supply chain, business, or a related field; exposure to a manufacturing or distribution environment is a plus.
  • Familiarity with inventory concepts such as reorder points, safety stock, or replenishment logic, through coursework, internship, or prior work.
  • Confident written and verbal communication, with comfort corresponding directly with suppliers by phone and email.
  • Basic ERP familiarity and strong Excel skills; exposure to Acumatica or a similar ERP system is a plus.
  • Strong attention to detail and comfort operating within a defined, auditable process.

  • Physical Requirements While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing. Some workdays could require prolonged sitting at a desk and computer use. Must be able to lift up to 25 pounds at times.
  • Work Schedule This is a full-time, on-site position. Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. with a 1-hour lunch as scheduled with management. This position may require hours beyond the standard working hours listed above to satisfy job duties and department demand.
