Job description

The Supervisory Medical Support Assistant (MSA), located in the Health Administration Section of the Business Office, provides administrative and clerical support functions in the Health Administration Service (HAS) for inpatient wards and outpatient clinics at the EKHCS Leavenworth Campus, supporting a broad range of clinical services.

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3j.
  • Experience: Six months experience of clerical, office, or other work that indicates the ability to acquire the knowledge and skills needed to perform the duties of the position, or one year above high school; or an equivalent combination of experience and education acceptable for entry-level positions.

May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Specialized Experience: One (1) year of specialized experience involving leading or supervising other medical support administrative staff or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

Grade Determinations

Supervisory Medical Support Assistant, GS-8

In addition to the basic requirements, candidates must demonstrate the following KSAs. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

Knowledge, Skills, and Abilities (KSAs):

  • Ability to provide the full range of administrative and supervisory duties, including managing subordinate MSA staff, assigning work, performance evaluations, staff selection, and recommending awards or advancements.
  • Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality and continuity of care and compliance with policies and regulations.
  • Ability to provide briefings, orientations, staff development, and training in a patient support setting.
  • Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
  • Advanced knowledge of managing or leading patient support staff in a clinic, including decision making and empowering the team within a complex system environment.
Physical Requirements

The Supervisory MSA position is primarily sedentary, requiring prolonged sitting and typing. It requires visual acuity, keen hearing, clear speech, and manual dexterity. The position may involve long periods of sitting and occasional lifting of up to 35 pounds. Staff may rarely be exposed to potentially combative Veterans due to delirium, dementia, or psychiatric disorders.
