Job Overview

The Practice Coordinator (PC) Supervisor plans, organizes, directs, monitors, and supervises the daily workflow of the THHM site coordinators located both on and offsite. The SC supervisor ensures that batches of charts are received by the BasePointe billing office according to established timelines. During staffing shortages and when a backlog is created, the SC Supervisor will need to facilitate production for their direct reports to ensure monthly close targets are met. The PC Supervisor ensures that missing and incomplete records at each hospital are retrieved according to established standards. The PC Supervisor develops and maintains positive working relationships with hospital administration, medical records directors, nurse managers, IT, and facility medical directors with the goal of ensuring an effective workflow.

Additionally, feedback on incomplete or missing record trends will be provided to the PC Manager/VP Chart Capture, Facility Medical Directors, VP of Operations, Regional Medical Director, and Documentation Specialists, following the chain of command as needed to escalate issues. The Practice Coordinator Supervisor will be responsible for new contract start-up meetings, Practice Coordinator training, IMBills training and monitoring, core measure tracking, incentive tracking, performance tracking, MRTS, and monitoring of the DMS and GMS systems, as well as site audits as required. They will also retrain new providers to TeamHealth as needed.

Essential Functions
  • Recruit, interview, and hire Practice Coordinator staff at offsite locations, ensuring workflow processes conform to standards.
  • Manage staff requests for PTO and support staffing needs.
  • Maintain discipline and provide training on batching, record retrieval, and IMBills processes.
  • Provide IMBills training to clinicians as needed.
  • Prepare departmental reports on workflow, trends, and missing records.
  • Ensure accuracy of work and reports, conducting quarterly audits and reviews.
Other Responsibilities
  • Communicate with the Site Coordinator Manager/VP regarding issues and staffing needs.
  • Complete chart flow processes during staffing shortages and perform other tasks as assigned.
Requirements
Education

Bachelor's or associate degree preferred, or 3+ years of supervisory experience in a related business setting.

Experience

At least 5 years of total work experience, including 2 years supervisory experience in medical billing.

Skills/Abilities
  • Develop and maintain positive relationships with hospital staff and management.
  • Handle multiple tasks and prioritize effectively.
  • Knowledge of medical billing processes.
  • Work independently supervising staff across various locations.
  • Proficient in computer skills (Excel, Word, etc.).
  • Willingness to travel overnight as needed.

Professional behavior, conflict resolution, and good communication skills are essential. The role may require physical stamina and mental endurance for overtime and additional hours.
