Supervises and oversees Patient Access & Admitting operations

Schedules, registers, discharges, manages point of service collections, and posts services performed by Patient Access Specialists across all clinic and hospital-based locations. Schedule

Monday-Friday 8a-5p, with some after-hours as needed. Split time between Harrison Clinic (180th & Harrison) and Lakeside Clinic (169th & Frances).

Major Responsibilities & Duties
  1. Facilitates and provides direct oversight to Patient Access and Admitting operations both on-site and off-site for BTNRH Clinics and Hospitals.
  2. Provides orientation and ongoing training to Patient Access Specialists and clinical Access team members.
  3. Oversees registration and scheduling functions to maintain high efficiency and customer service standards.
  4. Collaborates with managers, nursing supervisors, and physician leaders to ensure consistent interpretation and application of standards, policies, and procedures.
  5. Resolves customer service issues promptly and professionally.
  6. Maintains adequate staffing ratios based on patient and service demands, considering clinic schedules and volume trends.
  7. Fosters teamwork, assists in problem-solving, and responds effectively to crises and unplanned events.
  8. Oversees interviewing, selection, performance evaluation, and coaching of Patient Access Specialists.
  9. Supervises daily activities, providing coaching, mentoring, and discipline as needed.
  10. Tracks and analyzes workflows, staffing, productivity, and quality results; implements improvements or identifies educational opportunities.
  11. Ensures compliance with State, Federal, and The Joint Commission regulations.
  12. Manages weekly timecards, adjusts staffing, minimizes overtime, and addresses discrepancies.
  13. Reviews and maintains physician, surgical, and ancillary service schedules for accuracy and timeliness.
  14. Monitors bed census, liaises with bed management and charge nurses for admissions readiness.
  15. Oversees interpretive services, ensuring proper scheduling and coordination for patients and families.
  16. Monitors call line operations, ensuring timely responses, accurate information, and professional communication.
Knowledge, Skills, and Abilities
  • Maintains confidentiality and safeguards patient information.
  • Proficient in hospital and clinic billing systems and revenue cycle software.
  • Skilled in Microsoft Outlook, Word, and Excel.
  • Excellent communication skills, both oral and written.
  • Ability to manage diverse staff and coordinate departmental activities.
  • Knowledge of insurance, third-party payers, and benefits.
  • Capable of managing complex projects efficiently.

Required Qualifications
  • Associate degree in business, healthcare, or related field, or equivalent experience.
  • Minimum of 3 years’ experience in physician and/or hospital front-office settings.
  • Basic Life Support (BLS) certification.
  • Experience with patient record software applications.
Preferred Qualifications
  • CHAA or CHAM certification preferred.
