Job description

Overview

Supervise the HDQ Facilities operations by providing vital direction to ensure optimal functioning and maintenance of all building properties. Manage the roles of Mailroom, Reception, and Facilities team in all day-to-day activities.

Responsibilities
  1. Manage and ensure accuracy and completeness of monthly “Rent Control” data for worldwide facilities.
  2. Initiate work orders with Property Management to ensure all requests are handled accurately and in a timely manner.
  3. Oversee facility maintenance dispatching and escorting vendors working in the building, ensuring a safe environment.
  4. Manage internal relocations, new hire seating, and coordinate furniture reconfiguration.
  5. Maintain an updated employee location list in the Facilities database using Microsoft Access.
  6. Submit all invoices, verify services rendered and/or products received, and secure Facilities Manager’s approval.
  7. Maintain documentation and filing system for the facilities department.
  8. Manage information related to company equipment for local and remote locations (e.g., photocopiers, postage metering equipment).
  9. Oversee and coordinate off-site archiving.
  10. Review and coordinate scheduled services based on priority of functions.
  11. Manage information related to building generators, transfer switches, and UPS systems.
  12. Provide support and guidance to the facilities team (mailroom, reception, leasing, and facilities) to ensure efficient and effective operations.
Qualifications
  1. Bachelor’s degree in Business Administration or a related field, or equivalent experience.
  2. Minimum of 2 years of facility management experience, including supervisory roles.
  3. Demonstrated organizational and problem-solving skills.
  4. Project management skills to prioritize and complete multiple assignments with quality outcomes in a fast-paced environment.
  5. Excellent oral and written communication and negotiation skills.
  6. Proficient in Microsoft Outlook, Word, Excel.
  7. Timely, dependable, and professional.

Salary Range: $59,500 - $85,500
