Job Description

The Supervising Senior Financial Analyst is a key player in the Internet Archive's finance department, maintaining confidentiality and security of the organization's financial activities and records.

Supervise an accounting specialist and oversee Accounts Payable/payment processing, providing guidance and improving processes:

1. Review/Reconcile outgoing bank accounts and payroll expenses
2. Review of petty cash and personnel reimbursements for expenses

Accounts Receivable

• Coordinate with Scanning Center Managers and Web Archivists, prepare customer and partner invoices
• Record electronic donations and payments (Wires and ACH payments received)

Review and analyze Archive expenditures

• Prepare monthly analysis of credit cards
• Assist with Archive cash planning needs and expenditure forecasting

Financial Controls and Compliance

• Monitor financial controls and compliance, including bank accounts, petty cash, and credit card statements
• Review A/P and A/R activities for discrepancies and resolve issues

Other Responsibilities

• Continuously improve financial and business processes
• Assist in the selection, review, and adoption of cloud accounting and ERP systems
• Support audits and tax filings
• Support the Finance and Administration teams
• Handle ad hoc projects as assigned
• Represent the Finance Department in leadership roles

Qualifications

• Bachelor's Degree in Accounting or Finance
• Minimum of 5 years experience
• Thorough knowledge of Quickbooks Premier or Enterprise
• Excellent communication and problem-solving skills
• Ability to handle sensitive information with discretion
• Highly organized and capable of managing multiple entities
• Self-motivated team player with a sense of humor
• Nonprofit experience is a plus but not required
