Job summary

Visit.org is seeking an experienced Freelance Event Specialist to manage logistics for in-person events in Sunnyvale, CA. The role requires on-site presence, strong communication, and a consumer-focused mindset to deliver high-quality experiences.

You will coordinate planning meetings, ship materials, staff events, and be the on-site leader, ensuring smooth check-in, problem solving, and post-event wrap-up. This is a per-event contract position based in Sunnyvale, CA.

Qualifications

• Fluency in English and strong communication skills.
• Based in Sunnyvale, CA.
• Schedule flexibility for per-event contracting, including nights and weekends.
• Experience in complex, large-scale events and smaller executive-level events.

Responsibilities

• Coordinate event details, ship materials, and staffing for each event.
• Be the day-of hands-on on-site coordinator for engaging events.
• Join virtual planning meetings with partners and Visit.org teams.
• Manage on-site setup, alignment with the team, teardown, and site cleanliness.
• Serve as Visit.org representative and problem solver at events.
• Handle check-in and greet guests to ensure quality customer experience.
• Escalate issues to Events Team and provide updates and photos throughout.
