Job summary

Hill Country Christian School of Austin is seeking a part-time Substitute Coordinator to manage 40–50 substitutes, verify absences, and train staff. You will coordinate scheduling, communicate policies, and support payroll reporting while upholding the school’s faith-centered mission.

The role requires 3–5 years of related experience, strong organizational and communication skills, and willingness to work flexible hours including early mornings, evenings, and weekends as needed.

Qualifications

  • Must be a Christ-follower who upholds the School’s Core Values and Statement of Faith.
  • Must attend a church whose beliefs align with the School’s Statement of Faith.
  • 3–5 years of experience similar or related experience.
  • High school diploma or equivalent is required.

Responsibilities

  • Interview and hire substitutes with discernment.
  • Train new substitute teachers on school policies and procedures.
  • Supervise 40-50 substitute teachers.
  • Exercise independent judgement to problem solve and mediate conflict.
  • Match best fit roles and ensure subs feel valued as part of the Hill Country community.
  • Verify all teacher absences through the absence management system.
  • Verify all teacher absence requests are covered by a substitute teacher.
  • Communicate school policies and procedures to substitutes and teachers in a timely manner.
  • Verify substitute work hours and employee leave, preparing payroll reports.
  • Be a super user of the absence management system, assisting with overrides.
  • Continually evaluate and improve processes to better serve teachers and substitutes.
  • Interact in a Christ-like manner at all times; use Matthew 18 approach.
  • Willingness to handle off-hour requests for scheduling substitutes.
  • Willingness to perform PK-12 substitute teaching for partial days and last-minute absences.
  • Create, maintain and adhere to Substitute Handbook procedures.
  • Be knowledgeable of HR policies in the Employee Handbook.
  • Collaborate with teachers on binders, lesson plans, and substitute feedback.
  • Willing to learn technology applications necessary for this position.
  • Perform other duties as assigned.

Purpose

To help fulfill the mission of Hill Country Christian School of Austin by coordinating substitutes during teacher absences.

Accountability

Reports to PreK and Elementary School Principal

FLSA Status

Non-Exempt, Part-Time (20 hours)

Qualifications
  • Must be a Christ-follower who upholds, in word and deed, the Hill Country Christian School of Austin’s Core Values and Statement of Faith.
  • Must faithfully attend a church whose fundamental beliefs are in agreement with the Statement of Faith of this school.
  • 3-5 years of experience similar or related experience
  • High school diploma or equivalent is required.
  • Must have prior teaching/classroom experience or any experience supervising children.
  • Strong organizational, communication, and computer skills are required.
  • Must have ability to pay close attention to detail, communicate effectively orally and in writing, solve problems effectively and efficiently in a service-oriented manner, and demonstrate skill in using computer spreadsheets, online programs, email, text messages, and other applications as needed.

  • Verify all teacher absence requests are covered by a substitute teacher.
  • Communicate school policies and procedures to substitutes and teachers, as appropriate, in a timely manner.
  • Verify substitute work hours and employee leave, preparing reports for payroll.
  • Be a super user of the absence management system, assisting with overrides and tech support.
  • Continually evaluate and improve processes to better serve teachers and substitutes.
  • Interact in a Christ-like manner at all times. Utilize the interpersonal relationship method of “Matthew 18” as commanded by Jesus Christ.
  • Must have flexibility to handle “off” hour requests (including early mornings, evenings and weekends) for scheduling substitutes.
  • Willingness to perform PK-12 substitute teaching for partial days and last-minute absences.
  • Create, maintain and adhere to procedures in the Substitute Handbook and the Substitute Management Procedures.
  • Be knowledgeable of HR policies in the Employee Handbook and ensure absences adhere.
  • Collaborate with teachers on binders, lesson plans, coverage requests and substitute feedback.
  • Willing to learn technology applications necessary for this position.
  • Perform other duties as assigned.
Physical Requirements
  • Must be able to frequently move about inside campus buildings and outside on the grounds.
  • Must be able to remain in a stationary position for long periods of time.
  • Must be able to grasp, move, or assemble small objects.
  • Frequently operate a computer and a printer/copy machine using repetitive movements.
  • Must be able to exchange accurate and professional information whether in person, via email or telephone. Frequently communicates with co-workers and others.
  • Possess the physical stamina required to fulfill professional obligations and be able to lift 5 to 20 pounds.
  • Ability to work in an open office setting with frequent in-person interaction and numerous interruptions.
  • Possible exposure to a variety of childhood and adult diseases and illnesses.
  • Occasional exposure to a variety of weather conditions for recess.
