My client who are Global Advertising agency in New York are looking for a talented Studio/Operations Manager (with a fully remote setup!)
The Studio Manager is responsible for overseeing and maintaining general studio operations.
Organization, punctuality, attention to detail and proactivity are musts!
Your main duties and responsibilities include:
SCHEDULE AND RESOURCE MANAGEMENT:
• Support Client Services and Creative to schedule short-term and forecast long-term resource
• Source and provide skilled freelance resource when required to facilitate the schedule
o Advance planning based on forecasts and timelines
o Maintain an up-to-date database of resource
o Administrative processes (Contractual and Financial)
• Studio holiday planning: balance resource, ensure cover and instigate handovers
• Update project stakeholders on daily developments
PROJECT CO-ORDINATION:
• Track and inform project planning meetings
• Assist development of project management plans
• Enable effective planning meetings
o Involvement of the right people at the right time
• Summarise project status for stakeholders
• Instigate Assets checks at the right stage
o Font and media usage are correct for the project
• Highlight budget concerns
MEDIA SERVICES, ASSETS AND RIGHTS MANAGEMENT:
• Source global 3rd party media and creative services required to execute the project o Photography, Structural, moving-image, typography, illustration…etc.
o Provide alternatives
• Negotiate rates and usage rights
• Purchase and IP management of library images and fonts
o Timely usage rights check and pricing
ADMINISTRATIVE:
• Collaborate to drive efficiency
• Educate employees and newcomers on the Creative Services procedure
• Contractual and financial tasks for the above procedures
• Maintain process manuals, templates and presentations
• Filing systems - monitoring and up-keep across Client Services and Studio
• Archive completed projects In addition to the duties stated above you may be required to undertake further tasks as necessary to meet the demands of the Employer’s business. Work will be judged against the following criteria:
• Ability to work in a team to support the agency offices and departments
• Outstanding project management skills
• Exceptional attention to detail
• Excellent communication skills
• Ability to work in a frenetic environment
• Strength of support to team members
• Strength of relationship skills – both internal and external
• The subsequent correct representation of the agency
Qualifications:
• 3+ years’ experience as an Office Admin
• Excellent written and verbal communication skills: tactful and effective interpersonal interactions
• Proactive, detail-oriented, and a strong affinity for organization
• Strong familiarity with G-Suite and Microsoft Office Suite
• Bonus points for Adobe Creative Suite experience
• An appreciation for all things creative
