Help Keep the Creative Work Moving
CoCreative Interiors is a boutique interior design firm known for bold, personality-driven spaces and a personalized client experience.
Behind every successful project is tremendous coordination, communication, organization, and follow-through. We're looking for a Studio Operations Coordinator who genuinely enjoys making all of those moving pieces work together.
This opportunity is ideal for someone who thrives on bringing structure to complexity, anticipates what comes next, and takes satisfaction in keeping projects, people, and priorities moving forward.
This is an operations position, not an interior design role. While we welcome an appreciation for design and creativity, this position does not involve developing design concepts, selecting furnishings or finishes, or making creative design decisions. Your impact comes from building the operational structure that lets our design team do its best work.
We're looking for someone who wants to build a career in operations, coordination, and business support within a creative environment.
What You'll Do
- Coordinate project schedules, milestones, deadlines, and deliverables across multiple active interior design projects.
- Maintain organized project information, task assignments, and timelines so everyone understands priorities and next steps.
- Monitor progress, identify potential delays or bottlenecks, and proactively follow up to keep projects moving.
- Coordinate internal workflows and help maintain visibility into team workload, upcoming commitments, and project priorities.
- Organize project meetings, prepare agendas, document action items, and ensure follow-through.
- Support project installations by coordinating schedules, deliveries, vendors, site access, and logistical details.
- Help establish consistent project workflows and improve how information moves between team members and external partners.
Client + Project Partner Coordination
- Coordinate client meetings, project appointments, presentations, and scheduling logistics.
- Communicate professionally with clients, builders, trades, vendors, and other project partners regarding scheduling, status updates, and administrative details.
- Track outstanding information, decisions, and action items to ensure timely follow-through.
- Support a polished, responsive, and well-organized client experience throughout the project.
- Coordinate logistics with project partners while keeping design, technical, and construction decisions with the appropriate professionals.
Studio + Business Operations
- Support day-to-day studio operations, including calendars, supplies, organization, administrative processes, and general office coordination.
- Maintain organized digital files, project records, templates, and shared resources.
- Coordinate incoming inquiries, schedule discovery calls, manage proposals, and follow up with leads.
- Assist with planning team meetings, studio initiatives, events, and other business activities.
- Track internal deadlines, recurring responsibilities, and operational priorities.
- Help ensure the studio runs smoothly so the design team can remain focused on client work.
Marketing + Creative Operations Support
- Coordinate marketing calendars, content schedules, photography, and promotional activities.
- Create and update branded graphics, presentations, and marketing materials in Canva using established templates and brand guidelines.
- Organize project photography, imagery, and marketing assets for digital and print use.
- Prepare and schedule approved social media content.
- Coordinate routine website content updates and other marketing deliverables as needed.
- Track marketing deadlines, follow up with external partners, and help ensure planned initiatives are executed consistently.
The founder retains marketing strategy, brand direction, messaging, and final creative approvals.
Systems + Process Improvement
- Identify opportunities to simplify workflows, reduce repetitive tasks, and improve communication and accountability.
- Help document and maintain standard operating procedures, checklists, templates, and internal resources.
- Support the implementation and use of project management and operational systems.
- Explore practical opportunities to use technology and automation to improve efficiency.
- Gradually take on more responsibility for operational systems and process improvements as you become more familiar with the business.
What We're Looking For
We're looking for someone who is insanely organized, proactive, resourceful, and comfortable owning details without constant direction.
You may be a great fit if you:
- Enjoy coordinating people, schedules, projects, and competing priorities.
- Take strong ownership and follow through on commitments.
- Anticipate needs, identify potential problems, and take initiative to address them.
- Can manage multiple moving pieces without losing sight of the details.
- Communicate clearly, professionally, and warmly with different personalities.
- Are comfortable asking questions, exercising judgment, and finding solutions independently.
- Appreciate structure and consistency while remaining adaptable when priorities change.
- Enjoy improving processes and making work easier for others.
- Have strong attention to detail and take pride in polished, accurate work.
- Are comfortable working in a small, collaborative business where responsibilities evolve.
- Are genuinely interested in operations and project coordination rather than pursuing an interior design career.
Most importantly, we're looking for someone who doesn't simply wait to be told what to do next. You recognize what needs attention, communicate proactively, and help move things forward.
Experience + Qualifications
Required
- Previous experience in project coordination, operations coordination, administrative operations, or a comparable role involving multiple priorities and deadlines.
- Strong organizational, time management, and written and verbal communication skills.
- Proficiency with Google Workspace or comparable business productivity tools.
- Comfort learning and working within project management software and other digital systems.
- Ability to work full-time, in person, at our Huntersville studio.
- Ability to occasionally coordinate activities at local project sites.
Preferred, but not required
- Experience in interior design, architecture, construction, hospitality, property management, or another project-driven service business.
- Proficiency with Canva and an eye for clean, polished visual presentation.
- Experience coordinating social media, content calendars, or marketing initiatives.
- Graphic design experience or familiarity with brand guidelines and creating visual content.
- Experience improving workflows, documenting procedures, or implementing organizational systems.
- Familiarity with project management tools, process automation, or AI-supported business workflows.
We value demonstrated capability, initiative, and a willingness to learn. You don't need experience in every area to be considered.
What Makes This Opportunity Different
This is an opportunity to become an important part of a growing creative business and help shape the systems that support its continued success.
You'll work closely with the founder and a small, collaborative team, with meaningful responsibility for keeping projects and studio operations organized.
The role is designed to develop in phases. Initially, you'll focus on project coordination, team workflows, scheduling, and day-to-day studio operations. As you become familiar with the business, you'll have opportunities to take greater ownership of systems, processes, marketing coordination, and operational improvements.
We don't expect someone to arrive knowing every aspect of our business or to immediately assume every responsibility outlined above. We're looking for someone with the right foundational skills, sound judgment, and the potential to grow alongside the company.
