We are searching for a Studio Coordinator & Photography Assistant to be the operational backbone of our vibrant SoHo studio. This multi-faceted role is perfect for a highly organized and proactive individual who thrives in a dynamic environment, ensuring seamless daily operations and fostering a positive team culture.

Responsibilities:
  • Conduct Photoshoots: Conduct approximately 13 shoots per week, ensuring efficient use of studio time
  • Coordinate Staff Availability: Accurately open and close availability for photographers and makeup artists in Square
  • Handle Scheduling: Create and manage staff schedules, proactively addressing conflicts and arranging vacation coverage
  • Oversee Tech & Tools: Manage tech issues across Square, Slack, and Rippling, ensuring smooth system functionality
  • Maintain Inventory: Oversee all studio supplies and inventory, including purchasing necessary items
  • Financial Administration: Track and deposit studio cash, and manage the studio budget effectively
  • Logistics & Deliveries: Handle incoming mail, packages, and deliveries for the studio
Team & Communication:
  • Support Onboarding: Facilitate the onboarding process for new employees, including printing manuals, sharing schedules, and assisting with initial training
  • Coordinate Training: Schedule training meetings with relevant departments to ensure continuous team development
  • Serve as Key Contact: Act as the main point of contact for staff and assigned team members
  • Liaise with Leadership: Serve as a direct point of contact for Management and C-Suite, facilitating clear communication
  • Client Notifications: Track arrivals of albums and stainless products, promptly notifying clients for pickup
  • Address Feedback: Handle and escalate client and staff complaints, reporting to HR as necessary, and deliver both positive and corrective feedback to team members
  • Emergency Contact: Be the primary contact for studio emergencies (e.g., plumbing, weather-related issues)
Culture & Support:
  • Foster Positive Culture: Actively work to keep team energy positive and professional
  • Optimize Scheduling: Help prevent reschedules by maintaining accurate and clear schedules
  • Organize Team Events: Plan and organize a few team outings per year to build camaraderie
  • Recognize Excellence: Consistently encourage and recognize good work within the team
  • Drive Referrals: Earn bonuses for client referrals and positive reviews
  • Studio Presence: Be responsible for the studio board and ensure no one is waiting alone in the studio
Requirements:
  • Proven experience in an administrative or coordination role, preferably in a fast-paced environment
  • Exceptional organizational skills and a meticulous attention to detail
  • Strong communication and interpersonal skills, with the ability to manage various stakeholders
  • Proficiency with scheduling software (e.g., Square) and common office tools (Slack, Rippling is a plus)
  • A proactive problem-solver who can manage unforeseen challenges with grace
  • Ability to maintain composure and professionalism under pressure
  • A positive attitude and a commitment to fostering a supportive team environment
  • Availability to work weekends and evenings, in-person, as required
