Club Coordinator, Student Life and Development

The Club Coordinator serves a vital role in the Office of Student Life and Development at New York City College of Technology (CUNY). The Student Life and Development office oversees all student organizations and student activities, student government, New Student Orientation, the NEST Resource Center (Food Pantry), and student participation in Commencement. The Club Coordinator is responsible for the efficient management and coordination of all club activities and events. This role ensures that members have a positive experience and that the club's operations run smoothly. Working closely with officers, faculty advisors, and internal and external partners to plan, organize, and execute various events and activities that align with the club’s mission and goals.

Duties include but not limited to:
  • Event Planning & Management: Coordinate and oversee the planning and execution of all club events, including social gatherings, workshops, and special events. Work with vendors, suppliers, and staff to ensure events are successful and meet member expectations.
    • Oversee planning of the Club involvement fair and other campus wide club related events.
  • Member Engagement: Develop and implement strategies to increase member participation and satisfaction. Act as the main point of contact for members, addressing inquiries, resolving issues, and ensuring a welcoming and inclusive environment.
    • Coordinate meetings between members and office advisors.
    • Conduct regular assessments of clubs and develop strategies for club conflict resolution, communication and advise clubs on strategies for event success.
    • Create opportunities for officers leadership development.
  • Communication & Marketing: Manage communication channels, including email blasts, social media, and club bulletins, to keep members and students informed of upcoming events, club news, and important updates.
    • Send monthly communications to Club to keep them informed of specific monthly club related news, relevant events and student opportunities.
    • Coordinate with relevant office teams to ensure flyers compliance with campus branding guidelines and policies.
  • Budget & Resource Management: Prepare and manage the club's budget for events and activities, ensuring that all expenditures are within budgetary limits. Source and allocate resources effectively to optimize club operations.
    • Oversee the allocation of Club funds during the Club budgeting process. Advise Clubs on timelines, deadlines and fund requests to Student Government.
    • Actively communicate with Clubs on amounts being spent and budget status.
    • Oversee Club deliveries, Club inventories and coordinate deliveries pickups.
  • Administrative Duties: Maintain accurate records of membership, Title IX certifications, and constitutions. Handle club-related administrative tasks such as scheduling club rooms, booking spaces for events, and coordinating logistics.
    • Coordinate with budget procurement assistant, CUNY Buy office assistant and communications team on club purchase requests and event requests.
    • Coordinate approvals of requests on City Tech Connect and manage related communications.
    • Coordinate workflows and keep City Tech Connect up to date for Clubs.
    • Update club related forms and documents such as the resource manual and ensure the official City Tech club website is up to date with those documents.
  • Compliance & Safety: Ensure that all club activities and events comply with safety regulations, legal requirements, and organizational policies.
Preferred Qualifications
  • Bachelor’s Degree Preferred
  • Experience with student organization management, student activities, and/or student government.
  • Possess excellent organizational, administrative, and computer skills, including knowledge of MS Office and Google Suite (Especially Google Forms and Sheets)
  • Accuracy, attention to detail, and the ability to handle multiple projects at once.
  • Excellent written and oral communication skills, with proficiency in online communication.
  • Ability to prioritize duties, and work both independently and as part of a team.
  • Effective time management and organizational skills.
