Job description

Student Disability Resources (SDR) is seeking an Exam Coordinator Assistant to support the daily operations of the SDR Exam Center. This position works closely with the Exam Coordinator to ensure exams for students approved for testing accommodations are scheduled, prepared, administered, and processed accurately, efficiently, and professionally.

The Exam Coordinator Assistant plays a key role in maintaining a distraction-reduced, academically secure testing environment while providing organized, detail-oriented support to students, faculty, and staff. This fast-paced, student-facing role requires sound judgment, strong customer service, and consistent follow-through.

Key Responsibilities
  • Support the day-to-day operations of the SDR Exam Center, including scheduling logistics, exam preparation, exam distribution, and facilities readiness
  • Follow established exam center workflows and procedures consistently to support accurate and efficient exam administration
  • Verify exam information and materials before distribution, upload, printing, or return to help ensure accuracy and completeness

Scheduling, Systems, and Technical Support
  • Support exam scheduling processes and related administrative tasks for students approved for testing accommodations
  • Provide clear and accurate guidance to faculty, students, and staff regarding exam scheduling processes, timelines, and general system use
  • Troubleshoot routine scheduling and testing issues and elevate more complex concerns as needed
  • Support exam session monitoring and documentation processes in accordance with exam center procedures
  • Use exam center systems and technologies to support scheduling, recordkeeping, communication, and related operational functions
  • Maintain required records and related documentation accurately and promptly
Student and Faculty Support
  • Provide front-line customer service to students and faculty regarding exam scheduling, accommodations, procedures, and exam center expectations
  • Communicate respectfully, constructively, and professionally with students, faculty, coworkers, and campus partners
  • Facilitate accurate and timely communication between students, faculty, and SDR staff to support successful exam administrationRespond to phone, email, and in-person inquiries with professionalism, discretion, and strong service orientation
  • Maintain confidentiality and handle sensitive student and exam information appropriately
Staff Coordination and Operational Support
  • Assist with coordinating student staff and proctors and provide day-to-day guidance during exam administration
  • Support onboarding and training of exam assistants and proctors on exam center procedures, customer service expectations, and appropriate use of SDR systems
  • Communicate updates clearly and help reinforce consistent use of policies, procedures, and operational standards
  • Complete reports, data tracking, and other administrative tasks that support exam center planning and service delivery
  • Provide backup support for SDR front office operations and complete additional duties or special projects as assigned
Work Arrangement

Given the operational nature of this position, the successful candidate will be expected to work Penn State’s standard 40-hour schedule on-site.

Work Environment

This role is based in a fast-paced exam center with peak activity during midterms and finals. The position requires ongoing interaction with students, faculty, student employees, and campus partners and contributes to a welcoming, accessible, and professionally managed testing environment.

Primary Position Hours are 1:00 PM to 10:00 PM Monday through Thursday, and 8:00 AM - 5:00 PM on Fridays. Scheduled hours will vary within the center’s hours of operation according to student need/demand.

The successful candidate will:
  • Maintain a calm, professional, and measured presence in a high-volume testing environment
  • Communicate with tact and respect in interactions with students, faculty, and SDR staff
  • Demonstrate strong attention to detail and balance efficiency with accuracy in exam preparation and administrative tasks
  • Exercise sound judgment during high-demand periods by prioritizing tasks appropriately and following established procedures consistently
  • Build confidence and independence in the use of exam center systems, processes, and technologies
Required Qualifications
  • Minimum of two (2) years of relevant experience in student services, customer service, administrative support, testing operations, or a related field
  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment

Preferred Qualifications
  • Experience working in higher education
  • Experience supporting testing operations, exam administration, accommodations, or student services
  • Familiarity with disability-related accommodations and accessibility practices
  • Knowledge of federal and state disability laws and guidance, including the ADAAA and Section 504
  • Experience coordinating schedules, training student employees, or supporting front-line operations
  • Knowledge of or proficiency with RegisterBlast, NetSupport Manager, Luxriot, or similar exam scheduling, monitoring, and documentation systems

The salary range for this position, including all possible grades, is $40,608.00 - $58,836.00.
