Responsibilities

  • Assist with donor relations events and Thank You letters.
  • Assist with building repairs, reporting via facilities ticketing system.
  • Submit Surplus pick‑up requests as needed.
  • Maintain inventory and submit orders to office manager.
  • Help organize field trips, including travel and lodging arrangements.
  • Other office tasks as needed.
  • General policy research, as needed.

This recruitment will be used to fill two part-time (a maximum of 20 hours per week) Student Clerical/Office Assistant position for the Department of Biological & Ecological Engineering at Oregon State University (OSU). The person in this position will perform general office work such as document creation, flyer development, meeting scheduling copying, reception coverage, and database management.

Position Duties
  • Provides coverage for the main office, based on availability, open and/or close the office, greet visitors, and answer incoming calls and emails and routing those appropriately
  • Receives, sorts, and distributes mail and prepares out-going mail and shipments
  • Creates/designs electronic and/or hard copy materials including letters, announcements, fliers and brochures
  • Assist with donor relations events and Thank You letters
  • Assist with building repairs, reporting as needed via the facilities ticketing system
  • Submit Surplus pick‑up requests as needed
  • Maintains inventory of office and event supplies and submits orders to office manager
  • Helps organize field trips, including travel and lodging arrangements
  • Other office tasks as needed
  • General policy research, as needed

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard High School student: Regularly enrolled in a high school or participating in a home‑schooling program Undergraduate and post‑baccalaureate student: 6 credit hours per term Undergraduate international student: 12 credit hours per term* Graduate student officially admitted to Graduate School: 5 credit hours per term Graduate international student officially admitted to Graduate School: 9 credit hours per term* *International students may be allowed to carry fewer hours than specified above and still be considered “full‑time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
  • Must be available to work up to 20 hrs each week
  • Previous experience with MS Office Suite
  • Must be responsible and have a strong work ethic
  • Must have good written/verbal communications skills and attention to detail
  • Proficiency with professional email communications
Preferred Qualifications
  • Previous experience with designing flyers and outreach materials including familiarity with Adobe, Canva, or similar
  • Customer service experience
  • Experience in an office administration setting
