Job summary

Associa is seeking a Portfolio Operations Analyst to coordinate portfolio data, lifecycle tracking, and governance-ready materials. You will maintain dashboards, ensure data quality, and collaborate with initiative owners and delivery teams.

This role sits in the Strategy portfolio and collaborates with leadership to prioritize investments. The position requires strong organizational skills and experience with PMO tools.

Qualifications

• 5+ years of experience supporting program, portfolio, or PMO operations.
• Strong organizational skills and ability to follow up with stakeholders.
• Hands-on experience with a portfolio or project-management tool including data entry, reporting, dashboards, and basic automation.
• Strong attention to detail and ownership of data quality and accuracy.
• Ability to prepare clear, executive-ready materials from underlying data.
• Ability to work across multiple stakeholders without formal authority.

Responsibilities

• Portfolio information management: maintain inventory, ensure data current and accurate.
• Intake and lifecycle coordination: track initiative stage through lifecycle.
• Governance and decision support: prepare materials and agendas for governance meetings.
• Decision and dependency tracking: maintain logs, track outputs, follow up on items.
• Resource and capacity data coordination: provide leadership with resource data insights.
• Reporting and dashboard management: ensure dashboards are accurate and reports produced.
• Delivery data integration: connect portfolio records to project data and request updates.
• Tools and process improvement: maintain docs and support automation initiatives.
