Lancesoft is seeking an Operations Lead to drive Congress and Meeting Management operations, including planning, registration, budgeting, and vendor coordination across multiple events. The role ensures compliant, efficient meeting execution and supports related contracting activities as needed.

The ideal candidate has extensive experience in high-volume, regulated meeting environments, with strong skills in data reporting, dashboards, and process improvement.

Qualifikationen

• Experience in meeting operations or congress management in regulated environments.
• Proven ability to manage budgets, timelines and vendor deliverables.

Aufgaben

• Manage meeting workflows, platforms, calendars, intake, timelines, assignments, access needs, documentation, training reminders, and process controls.
• Support meeting setup, approvals, registration, attendee records, leadership commitments, event materials, print needs, communications, meeting cards, vendor documentation, reconciliation, and closeout.
• Track purchase orders, invoices, payments, budgets, forecasts, accruals, vendor follow-up, and finance/procurement actions for congresses, HCP meetings, internal meetings, and related vendors.
• Provide limited support for Speaker Bureau, HCP engagement, advisory boards, and contracting workflows tied to meeting setup, approvals, attendee needs, vendor activity, or closeout.
• Create dashboards and leadership summaries using meeting volume, registration, budget, vendor, survey, attendee, reconciliation data.
• Identify process gaps, data issues, payment concerns, service trends, and compliance risks; support remediation and continuous improvement.
