Job summary

Extraordinary Trust is seeking an Executive Assistant to provide high-level administrative support to a fast-paced executive team. You will manage complex calendars, coordinate meetings across time zones, arrange travel, and prepare communications with discretion and professionalism.

You will also compile reports, assist with budgeting and data analysis, and maintain files and records in accordance with policies. This role requires strong judgment, initiative, and collaborative teamwork.

Qualifications

  • Bachelor’s degree preferred; associate degree or equivalent work experience considered.
  • 3–5 years in an Executive Assistant or similar role.
  • Proven track record supporting senior leaders in a fast-paced environment.
  • Proficiency with Microsoft Office and comfort learning new tools and systems.
  • Working knowledge of digital communication platforms and meeting technology.

Responsibilities

  • Provide direct administrative support to executive-level staff, including prioritizing requests and tracking action items.
  • Manage complex calendars, schedule meetings across time zones and coordinate logistics.
  • Plan and coordinate meetings and events, including agendas, materials, setup, and post-meeting notes.
  • Coordinate complex travel arrangements and manage itineraries and expense documentation.
  • Draft, edit, and distribute executive communications and correspondence.
  • Maintain accurate files, databases, and records in line with regulatory requirements.
  • Compile and reconcile recurring operational and financial reports and support budgeting and forecasting.
