Job summary

University of Pennsylvania’s Penn Libraries seeks an Assistant Director of Engagement and Events to lead high-level donor engagement and campus programming. You will manage board meetings, regional cultivation events, and campus programs, coordinating with alumni relations and development teams to advance fundraising goals.

The role requires strong project management, excellent communication, and the ability to travel regionally and work during evenings.

Qualifications

• Bachelor of Science or Bachelor of Arts with relevant experience in events, development, or donor relations.
• 2–3 years of experience required; 3–5 years preferred in event planning or donor engagement.
• Strong written and verbal communication; ability to collaborate with senior leaders and volunteers.

Responsibilities

• Manage Board Meeting Logistics: plan, organize, and execute two annual on-campus Board of Advisors meetings; provide end-to-end logistical, technical, and catering support.
• Plan and Execute Regional Engagement Events: coordinate with fundraisers to plan events in major cities; manage registration, venues, vendors, timelines, and follow-up.
• Coordinate On-Campus Donor Programs: work with Alumni Relations and Libraries on Homecoming and Reunion Weekend events; ensure alignment with donor engagement strategies.
• Manage Development-Adjacent Initiatives: support programs outside standard cultivation; partner with internal stakeholders to boost impact.
• Support Campus Visits: organize logistics for campus visits by donors, prospects and families; prepare materials and schedules.
